Requirements

  • Requires a high school diploma.
  • One or more years additional coursework or business training in accounting or business or equivalent experience.
  • 5-7 years of experience in billing, invoicing, project management, or accounting is required.
  • Strong Microsoft Office skills, with an emphasis in Excel.
  • Strong record-keeping and organizational skills.
  • Excellent computer skills, attention to detail, listening, and communication skills.
  • Professional demeanor with ability to lead teams.
  • Relies on experience and judgment to plan and accomplish goals.
  • Performs a variety of tasks.
  • Works under general supervision.
  • May exhibit a moderate degree of creativity and latitude.
  • Ability to accomplish the described duties through the use of appropriate computer and general office equipment.
  • Ability and mastery of Microsoft Office Suite, Word, Excel, PowerPoint.

Responsibilities

  • Set up jobs in the system for projects.
  • Distribute job information to Project Managers and Purchasing.
  • Enter project data in the system.
  • Set up field files and office files for each project.
  • Place orders for materials & PO setup.
  • Vendor setup, equipment posting, lien waivers.
  • Review labor entered by field employees, ensuring correct general ledger coding.
  • Review quotes and assign proper sales or use tax rates prior to quote release to customer.
  • Confirm tax accuracy on quote and job.
  • Update records, tools, and resources used by others.
  • Work to make continuous improvements to the systems and procedures used to track project data, bill customers, pay employees, vendors, merchants and others.
  • Participate on project teams, including software upgrades, training, and other committees, task forces, and teams that drive change and improvement.
  • Maintain electronic and paper records of customer, sales, asset, resource, or personnel data.
  • File electronic and paper records of training.
  • Process or assist with funds (and the paperwork required) going in and/or out.
  • Enter information into business systems that aid in billing.
  • Assist in preparing and modifying invoices.
  • Perform other duties as assigned.
