About The Position

The Project Coordinator serves as the operational liaison between Account Managers, Project Managers, Purchasing, Logistics, and Accounting throughout the lifecycle of each project. This role owns the administrative execution of projects, ensuring information, documentation, purchasing, logistics, invoicing, and project closeout are completed accurately and on schedule. While the Project Manager leads field execution, the Project Coordinator ensures the operational side of every project runs smoothly.

Responsibilities

  • Coordinate project setup by organizing documentation, establishing projects in company systems, and ensuring all required information is complete.
  • Facilitate communication between Account Managers, Project Managers, Purchasing, Logistics, and Accounting throughout the project lifecycle.
  • Prepare project documentation for purchasing, coordinate project reviews, and support timely purchasing decisions, including communication of pricing changes and change orders.
  • Coordinate delivery logistics, truck scheduling, pick tickets, and installation readiness by verifying equipment availability and project requirements.
  • Process project modifications, field change orders, and other operational updates while ensuring proper documentation and communication.
  • Manage project invoicing, customer billing, and accounts receivable follow-up in coordination with accounting.
  • Provide administrative support during installation by coordinating resolution of missing materials, backorders, damages, and other project issues.
  • Oversee project closeout activities, including documentation review, purchase order reconciliation, audit coordination, and final project completion.
