About The Position

BEAM Professionals has more than 30 years of experience in the design and maintenance of exterior building envelope components for K-12, higher education, municipalities, corporate + commercial, and sports clientele. We supply a powerful combination of design expertise, understanding of building procedures, and intimate knowledge of how to successfully execute building envelope projects. The Project Coordinator works in concert with project management to help ensure successful project delivery. The Project Coordinator requires excellent organizational skills and ability to work under the pressure of multiple deadlines and multiple teams. Ability to plan and prioritize tasks and the ability to manage multiple concurrent projects.

Requirements

  • Proficient in Adobe Creative Suite and Microsoft Office Suite software.
  • Excellent verbal and written communication skills.
  • Must possess the ability to interact and represent the firm well with clients, consultants, vendors, and external organizations on behalf of the senior management team.
  • Ability to work and effectively communicate with all levels in and outside the organization.
  • Strong attention to details, including proofreading.
  • Ability to work well under pressure, juggle and prioritize multiple projects and adjust work accordingly, often against tight deadlines.

Nice To Haves

  • Proficient in Smartsheet, Bluebeam, Prolog (and/or other project management software) preferred.
  • Bachelor’s Degree strongly preferred.
  • Previous experience in a professional services firm (architecture, engineering, construction) is strongly preferred.

Responsibilities

  • Assembles all Design Deliverables (Schematic, Design Development) and Presentations.
  • Coordinate documents for OAC meetings, agendas, meeting minutes, Friday reports and action items for major projects.
  • Assists Project Team with Bidding/Proposal Materials (Advertisements for Proposals, Proposal Documents, Recommendation Letters, Bid Tabulations, etc.).
  • Prepares AIA contracts and fee proposals.
  • Assists Project Managers with obtaining, tracking, and submitting State Agency, City, County Permits & Applications.
  • Coordination and tracking of all Project Documents (PNR, Submittals, Change Orders, Pay Applications, Allowances, Warranty).
  • Assists team in developing project write ups for marketing purposes. (Deltek)
  • Assists project team in long range facilities master planning and facilities assessments.
  • Supervises, schedules, trains, and mentors Admin Assistants assigned to their team.
  • Executes format of files and saving in folder structure.
  • Coordinates with assigned managers to ensure BEAM projection schedule is up to date.
