The Project Coordinator provides administrative and operational support to the Operations Manager and Iowa office locations. Working closely with the Senior Project Coordinator, this position helps ensure the successful execution of projects through coordination of project documentation, inventory management, billing support, payroll review, compliance tracking, and general office administration. The ideal candidate is highly organized, detail-oriented, and capable of balancing multiple priorities in a fast-paced environment.

Requirements

  • Bachelor’s degree in Finance, Accounting or Business; or equivalent combination of education and experience
  • Proficiency in Microsoft Excel and Word
  • Strong organizational and project management skills
  • Effective oral, written communication and interpersonal skills
  • Collaborative, team player, able to wear many hats and juggle different priorities.
  • High customer service orientation

Nice To Haves

  • Experience with invoicing of Time & Material projects is preferred.
  • Experience with inventory management is preferred.
  • Previous administrative experience is preferred.

Responsibilities

  • Provide administrative support to the Operations Manager and the three Iowa office locations.
  • Work closely with the Senior Project Coordinator to execute administrative tasks.
  • Schedule safety training and maintain a record of certifications for all employees on the project.
  • Manage project inventory; includes tracking of equipment information including item names, descriptions, manufacturer names, model names / numbers, part numbers, serial numbers, etc. as well as detailed location information and transfer dates
  • Coordinate with field technical staff regarding material used on work orders and associated billing.
  • Maintain records of material procurement, use on projects / work orders, and remaining quantities.
  • Track equipment orders; including initial order, delivery to ESI office or customer site, and installation for project or work order.
  • Obtain vendor quotes for material and equipment.
  • Perform data entry and scan documents
  • Maintain records for the project including but not limited to Driver Qualification Files, Fleet Maintenance Records, Vendor Information and Purchasing Procedures.
  • Create project billing codes.
  • Purchase, receive and store the office supplies ensuring that basic supplies are always available
  • Reconcile and submit petty cash receipts
  • Sending out and receiving mail and packages
  • Ability to work as part of a team
  • Assist payroll by reviewing and calculating hours
  • Assist payroll department by calculating technician time sheets
  • Must be able to interpret contract verbiage regarding billing rates, etc.
  • Performs other duties as required and assigned
