About The Position

The Better Outcomes Registry & Network (BORN) Ontario, funded by the Government of Ontario and administered by CHEO, is Ontario's prescribed perinatal, newborn, and child registry focused on facilitating quality care and protecting high-quality data for families across the province. BORN also manages Prenatal Screening Ontario. This Project Coordinator role contributes to the development, implementation, evaluation, and ongoing coordination of activities related to BORN partnership strengthening and network growth projects and initiatives. The incumbent will possess demonstrated knowledge and experience in project management and coordination, including excellent communication skills, project development, implementation, process redesign, monitoring, budget management, communications, quality, risk, and evaluation.

Requirements

  • Bachelor's Degree in a health-related field (Essential)
  • Minimum three (3) years of experience engaging with partners on a provincial level, planning and supporting webinars, conferences & communication activities
  • Project Coordination/Management experience (Essential)
  • Competency with the Microsoft Office suite of tools (Essential)
  • Self-directed with the advanced ability to plan, organize and prioritize projects according to priority, and ability to ask questions and to identify difficulties in meeting deadlines (Essential)
  • Criminal Record Check (Level 1) (Essential)

Nice To Haves

  • Master's degree in health-related field (Preferred)
  • Familiarity with using Contact Relationship Management (CRM) systems (Preferred)
  • Experience working with a Prescribed Registry under PHIPA (Preferred)
  • Project Management Certification (PMC) (Preferred)
  • LEAN Certification (Yellow belt or above) (Preferred)
  • Experience working with project scheduling software such as Microsoft Project (Preferred)
  • Bilingualism (French/English) (Preferred)

Responsibilities

  • Lead the development, integration and coordination of projects related to engagement, partnership, and networks at BORN to create consistent, coherent documentation used to guide both project execution and project control.
  • Coordinate stakeholder engagement activities, including managing relationships with key BORN partners.
  • Coordinate changes across the entire project.
  • Develop project schedules including identifying activities to produce project deliverables, identifying dependencies, number of work periods, analyzing activity sequences, activity durations, and resource requirements.
  • Lead the development of all required project documentation, inclusive of network meetings, partnership forums and advisory council.
  • Contribute to the design and execution of stakeholder engagement frameworks and partnership plans.
  • Work with project teams to evaluate project performance, monitor specific project results and identify ways to eliminate unsatisfactory performance.
  • Work with the project teams to identify, document, and assign project roles, responsibilities, and reporting relationships for the human resources for the projects.
  • Determine the information and communications needed by the partners and ensure needed information is available to project stakeholders in a timely manner.
  • Identify what information project participants need to know and enable access to timely, relevant sources of information.
  • Collect and disseminate project documentation (e.g. status reporting, progress measurement, and forecasting).
  • Support knowledge translation efforts by capturing key project content, preparing and circulating stakeholder materials, and assisting with the coordination of webinars and podcasts to promote engagement and understanding.
  • Assess and implement risk analysis activities and mitigation strategies for projects.
  • Ensure that team members are provided with and use the appropriate procedures, equipment and material to perform assigned duties.
  • Exemplify and advance BORN's health equity journey to promote equity, diversity, inclusion, justice, and indigeneity within BORN, its data holdings, and its relationships across perinatal and child health.
  • Ensure that team members perform work in accordance with the Occupational Health and Safety Act and Regulations and all CHEO Corporate/Departmental policies and procedures.
  • Ensure that appropriate action is recommended for those team members who do not work in compliance with the Act.
  • Provide support to Program/ Managers/Leads as required.
  • Perform other related duties as assigned by supervisor.
