We are seeking a Project Coordinator to support Project Managers in coordinating daily project activities, maintaining documentation, managing communications, and ensuring smooth project delivery. The role involves assisting with project planning, scheduling, reporting, procurement support, stakeholder coordination, and administrative tasks while maintaining accuracy and compliance with company processes. The ideal candidate is highly organized, detail-oriented, proficient in Microsoft Office, and experienced in project support or administrative coordination.

Requirements

  • Must have an excellent command of written and verbal English.
  • Strong organisational and time management skills, with the ability to manage multiple priorities, including 3 email inboxes.
  • Confident using Microsoft Office applications, including Word, Excel, Outlook and PowerPoint.
  • High attention to detail and accuracy in documentation and reporting.
  • Ability to build effective working relationships with colleagues, suppliers and stakeholders.
  • Proactive, flexible and able to work independently as well as part of a team.
  • Good problem-solving skills and the ability to follow up on actions to completion.

Nice To Haves

  • Experience in the manufacturing or construction industry.
  • Experience working with Business Central is desirable.
  • Experience working in an administrative, coordination or project support role is desirable.
  • An understanding of project management processes, terminology or tools is advantageous.

Responsibilities

  • Support the Project Managers with day-to-day project coordination and administrative tasks.
  • Assist with inbox management, prioritising actions and highlighting urgent queries as they come in from customers and suppliers.
  • Assist with preparing, maintaining and updating project plans and schedules.
  • Upload orders from project handover into SharePoint and Business Central, following internal company processes.
  • Coordinate project meetings with external and internal customers, preparing agendas, taking minutes and following up on actions.
  • Maintain accurate project documentation, records and version control.
  • Liaise with internal teams, external suppliers, contractors and stakeholders to support smooth project delivery.
  • Create purchase orders, invoices, and expense requests where required.
  • Prepare regular progress updates and reports on projects for the Project Managers and wider project team.
  • Support procurement activities and supplier communication where appropriate.
  • Contribute to project closure activities, including handover documentation, lessons learned and final reporting.
  • Ensure all project activity is carried out in line with company policies, procedures and quality standards.
  • Work with the internal team to ensure timely delivery of services to clients and ensure that client expectations are met.
