About The Position

This highly organized and detail-oriented individual, as part of the Taft Engineering team supports the successful execution of project and sales activities by coordinating across internal teams, customers, vendors, and contractors. The role ensures timely, accurate deliverables and a high level of customer satisfaction through responsive communication and seamless project support in a fast-paced environment. This position reports to District Sales Manager. This role is onsite and is based in Kansas.

Requirements

  • College degree preferred but not required
  • 1-5+ years of project coordinator experience
  • Understanding of and adherence to applicable laws, codes, policies, regulations, and safety practices and procedures, as applicable.
  • Must successfully establish employment eligibility and satisfactorily complete background checks and required pre-employment testing as a condition of employment.
  • Experience and Knowledge of Microsoft office programs
  • Punctuality and dependability.

  • Ability to be flexible and adapt to changing work priorities and stressful conditions.

Responsibilities

  • Provide sales support for Taft Engineering team.
  • Generate Purchase Orders for Engineering projects.
  • Communicate and Coordinate with external vendors for necessary project forms including vendors set up, w9 form, COI, etc.
  • Communicate and coordinate with end users for necessary project forms including customer setup forms, w9 forms, certificate of insurance forms, etc.
  • Enter required information in Taft software for customers, vendors, contractors, etc.
  • Provide administrative support to make sure appropriate forms and documents are correctly filled out and completed for each project
  • Coordinate with accounting department and provide necessary documents/information for projects.
  • Create and maintain shared electronic file system to store all project documents.
  • Assist Engineering project managers with administrative support.
  • Receive, generate and record project invoices and forward to accounting.
  • Create and maintain CRM records for projects.
  • Assist project managers with proposal development for Taft Engineering projects.
  • Coordinate submittals with customers and contractors.
  • Track and file approvals in appropriate job folders.
  • Work closely with the internal team members and external sales and support teams to ensure high customer satisfaction
  • Travel in support of sales for training, meetings and customer site visits
  • Cover voicemail and email for sales staff while members are on vacation or unable to access their mailbox
  • Monitor phone system and answer customer calls.
