About The Position

The Project Coordinator's primary function is to facilitate prompt communications between all members of the project delivery team and ensure correspondence and deliverables are delivered within the required timeframes. This role is responsible for non-technical administrative functions of the project while maintaining files and logs to ensure construction documents are up to date, orderly, and readily available to the project delivery team.

Requirements

  • Minimum 2 years of project or office administrative experience.
  • Proficient computer skills and use of Microsoft® Office & Products.
  • Efficient use of Windows & PDFs.

Nice To Haves

  • 4-year engineering degree preferred.
  • Construction environment experience preferred, but not required.

Responsibilities

  • Sets up new project logs/files and identifies project submittal and field deliverable requirements.
  • Promptly compiles, logs, submits, and tracks the progress of ELCCO generated or received contract documents (e.g., RFIs, PCOs, Submittals, POs, Field Deliverables, and Closeout Log activities).
  • Maintains project files for easy access by the field and its support team.
  • Continuously follows up on deliverables owned by ELCCO, its vendors, subcontractors, and clients to minimize past-due items.
  • Compiles and submits project permits and applications, tracks progress, submits for inspections, and distributes results.
  • Schedules and coordinates project inspections, training, commissioning, startup, and other meetings as required by contract documents.
  • Stays ahead of material drop-dead dates, working with field and purchasing to ensure material, tool, and equipment commitments are met for timely delivery to the job site before scheduled installation.
  • Prepares agendas and agenda items for various project management meetings (e.g., Preconstruction Meetings, PM Meetings, Handoff Meetings).
  • Plays an active role in meetings by facilitating, taking minutes, or acting as timekeeper.
  • Responsible for tracking and following up on action items to ensure nothing is missed.
  • Prepares closeout deliverables in advance of project completion.
  • Acts as a gatekeeper for the Project Manager (PM) and supports the PM in staying on task and aware of operational priorities.
  • Takes on additional administrative and logistical tasks as needed by the PM.
