About The Position

The project coordinator will partner with team members from across the organization and external partners to support various projects aiming to improve internal functions and/or to develop and launch new or expanded services. This position will ensure that Volunteers of America Mid-States continues to meet the critical needs of those in our communities with the greatest need.

Requirements

  • A bachelor’s degree in business administration, project management, public administration, nonprofit management, social work or related field required.
  • 1 - 2 years’ experience in project management or coordination is required
  • Strong written and verbal communication skills are required.
  • Proven ability to prioritize and manage multiple projects and relationships.
  • Attention to detail including organization, diligence, and time management skills.

Nice To Haves

  • Knowledge of Envisio or project management software is a plus.
  • Knowledge of construction projects and operations is a plus.

Responsibilities

  • Coordinate and manage projects across multiple programs with both internal and external focus.
  • Support program expansions and projects by managing tasks such as locating office spaces, managing IT requests, procuring furniture, and facilitating other start-up needs.
  • Develop detailed project task lists, assign responsibilities to appropriate team members, and monitor progress to ensure timely completion of deliverables.
  • Plan, schedule, and facilitate cross-departmental meetings, ensuring productive collaboration and clear communication.
  • Participate in the development, management, and monitoring of project budgets to ensure responsible use of resources.
  • Create, manage, and maintain comprehensive project timelines to guide execution and track milestones.
  • Identify, assess, and address project risks, resolve issues, and respond to questions and concerns they arise.
  • Serve as a liaison between the organization and external project partners, fostering effective relationships and information flow.
  • Maintain consistent communications with program and department leaders, providing updates on project status, challenges, and achievements.
  • Ensure that all project deliverables meet expectations.
  • Maintain accurate and organized project documentation, including reports, records, and DocLink.
  • Conduct research to support business development initiatives and internal projects including the strategic use of AI tools when applicable.
  • Provide logistical coordination for program launches, site visits, event setups, and other in-person needs to ensure smooth execution.
  • Support the planning and implementation of events such as major fundraisers, panel discussions, and other initiatives that require management expertise.
