About The Position

REKO® Automation Group Inc. is seeking a detail-oriented and proactive Project Coordinator to support the successful execution of custom automation projects. Reporting to the Director, Engineering and Technology, the Project Coordinator will be responsible for tracking project progress, maintaining accurate documentation, coordinating between teams, and ensuring timely follow-up on critical project activities.

Requirements

  • Strong organizational and time management skills with the ability to manage multiple priorities.
  • Excellent communication and follow-up skills across cross-functional teams.
  • Proficiency in Microsoft Excel, Word, and project tracking tools (e.g., MS Project).
  • Detail-oriented with strong data tracking and documentation capabilities.
  • Ability to identify risks, escalate issues, and support problem resolution.
  • Strong computer, problem solving, organizational skills and a keen understanding of material and labour costs, with the ability to meet deadlines and respond to customers promptly.
  • Must be proficient in Microsoft Project, Excel and Word.

Nice To Haves

  • Experience in manufacturing or custom automation environments is considered an asset.
  • Technical knowledge of manufacturing processes and factory automation would be considered an asset.
  • Post-secondary education in a technical or business-related field is preferred.

Responsibilities

  • Maintain and continuously update open issues lists, coordinating with design and build teams to ensure issues lists are populated and reflect current project status.
  • Proactively follow up on outstanding items that may impact project timelines or deliverables.
  • Update task progress and percentage completion within project schedules.
  • Track actual hours consumed versus planned hours and follow up with the Program Manager on variances.
  • Assist with closing out completed project sequences and tasks.
  • Monitor overall project timelines and notify the Program Manager of outstanding or at-risk items.
  • Update and maintain quoted vs. actual cost tracking documents as supplier quotes are received.
  • Follow up with vendors and internal stakeholders on outstanding purchasing items.
  • Collaborate with engineering to identify long lead components and ensure early procurement.
  • Maintain organized and up-to-date project documentation for team access.
  • Track and manage sample components, including logging and updating receipt status.
  • Follow up with internal teams to ensure required manuals and documentation are completed.
  • Consolidate key data and decisions from meeting minutes into centralized, accessible documentation.
  • Capture and organize build progress through regular photo updates.
  • Monitor, document, and communicate lessons learned throughout the project lifecycle.
  • Support the continuous improvement of project coordination tools, tracking methods, and reporting processes.
