About The Position

The Project Coordinator supports the project management team throughout the execution of a project. The Coordinator is a skilled organizer and expeditor who assures team deliverables are performed timely and deadlines are achieved. The Coordinator will manage many of the administrative aspects of a project including engineering work flows, minutes of meetings, coordination and tracking of action items, assembly of operations and maintenance manuals, etc.

Requirements

  • Proficiency with common computer applications (MS Word, MS Excel, MS Outlook, SharePoint, Power BI, Adobe PDF, etc.) as well as other web-based applications for uploading, storing and transmitting project documents.
  • Familiarity with engineering drawings, specifications and workflow review processes.
  • Ability to prioritize work assignments and ensure all project deadlines are achieved.
  • Excellent interpersonal, organizational, oral and writing skills required.
  • The ability to interface with all levels of people is a must.
  • Ability to work overtime with little to or notice in order to meet project deadlines.

Nice To Haves

  • Experience with an Electronic Document Management System (EDMS) such as SmarTeam, Documentum, etc.

Responsibilities

  • Provide home office coordination when Project Managers/Engineers are traveling.
  • Aid Project Team members in initiating and maintaining PDM system project files consistent with office standards.
  • Review, and edit as needed, documents related to Quote/Buy requisitions and ensure proper attachments are included in the workflow process.
  • Prepare draft for PE review, issue & maintain files for project meeting minutes/action item lists.
  • Organize information systems, both on computer and in hard copy format if required, to ensure completeness and ease of access to internal documents within databases.
  • Notify the PDMS modeling team if pertinent information is received via Vendor Document Control.
  • Identify and assign disciplines to review vendor documents & expedite completion as required.
  • Issue Project workflow reports weekly during the engineering phase of the project, or as directed by the Project Engineer.
  • Advance all workflow processes in an expeditious manner. Most should be routed within 24 hours.
  • Notify the PE and lead engineer if circumstances exist that prohibit the advance of the workflow within the 24-hour window.
  • Provide as-needed assistance to both the Expeditors and the Vendor Document Administrator regarding issues related to vendor documents.
  • Respond to requests from engineering/PE/PM regarding any assistance needed with PDM system issues or questions.
  • Possess the ability to expand personal knowledge of MTI equipment, process, and procedures.
  • Help train new hires in MTI PDM system and workflow processes and procedures.
  • Fill in for and support the Document Control departments as may be required from time to time.
