About The Position

This is a temporary work term, approximately three (3) months in duration, located at our head office in Sherwood Park. MAXX North America Services is a leading service provider offering a full suite of Pipeline Maintenance, Pipeline Integrity, Facility Construction solutions across Canada.

Requirements

  • Business-related Diploma/Certification or equivalent field experience.
  • 2-5 Years of relevant experience.

Responsibilities

  • Provide administrative support for projects, reporting to the Division Manager.
  • Assist the Project Manager in the coordination of project job setup, project schedules, resources, and project tasks to ensure project goals are met.
  • Manage day-to-day activities for the Project Management team.
  • Assist with the analysis of project data and updating progress reports.
  • Facilitate communication between project stakeholders and ensure that project documentation is maintained and up to date.
  • Maintain the project risks and issues log, and assist the project team to resolve them promptly.
  • Recognize areas of project development that need to be addressed to maintain efficiency and cost control.
  • Prepare and distribute meeting minutes, and other project-related documentation as required.
  • Assist in reviewing timesheets for payroll and billing accuracy.
  • Generate LEMs from approved timesheets and submit to the Client.
  • Upload approved LEMs from the Client for invoicing.
  • Audit and receive vendor LEMs and invoices, and follow-up as the project progresses.
  • Audit assigned project resources and progress.
  • Communicate with field crews as necessary.
  • Communicate with client representatives as necessary.
  • Effectively communicate with client representatives and analysts for important project deliverables.
  • Assist with Quality Control programs administration and document control.
  • Adhere to company policies & procedures.
  • Attend internal and external project status meetings.
  • Be responsible for your own health and safety.
  • Participate in lessons-learned sessions to prevent recurrence.
  • Understand of the Maxx HSE guidelines, and reporting incidents to the HSE team.
  • Report all incidents to the Manager & HSE Manager ASAP.
  • Take an active role in personal and role-specific development.
  • Provide input and feedback on personal performance assessments.
  • Contribute to the morale and spirit of the team.

  • Understand and follow the purchasing and expense guidelines.
