The role is an active, approved vacancy within the organization and is intended to be filled as part of current staffing needs. The Project Coordinator within the Pharmaceutical Development Solutions (PDS) team is responsible for supporting project management activities, ensuring smaller projects are executed smoothly, and assisting in keeping timelines and budgets on track, for small and large projects. As a Project Coordinator, you will play a vital role in ensuring the efficient operation of projects from initiation to completion by supporting the Project managers.

Requirements

  • 1-3 years of experience in project coordination or related roles with the ability to lead meetings.
  • Strong organizational skills and attention to detail.
  • Excellent communication skills (both written and verbal).
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and project management software (e.g., Monday.com).
  • Ability to multitask and manage competing priorities.
  • Strong problem-solving skills and a proactive attitude.
  • Team player with the ability to work effectively with diverse teams and stakeholders, both internal and external.

Nice To Haves

  • Bachelor’s degree in science, Project Management, or a related field (preferred).
  • Certification in project management (e.g., PMP, CAPM) is a plus or plans to work towards the certification.

Responsibilities

  • Assist in the planning and execution of project tasks, ensuring they align with deadlines and objectives.
  • Managing small projects.
  • Monitor project progress and adjust plans as needed.
  • Serve as a liaison between project teams, clients, vendors, and other stakeholders.
  • Ensure clear, consistent, and timely communication.
  • Coordinate production scheduling between the PM team and Planning.
  • Assist with shipments to the client.
  • Maintain accurate project documentation, including project plans, timelines, status reports, and meeting notes.
  • Track project milestones and provide regular updates to the project manager.
  • Assist with tracking project budgets and expenses, to ensure projects stay on track financially.
  • Identify potential project risks or issues and help resolve them promptly.
  • Escalate concerns when necessary to ensure project success.
  • Provide general administrative support to project managers and team members as needed, including facilitating meetings, managing client requests, documentation tracking, and other adhoc tasks.
