About The Position

The Project Coordinator at Rogers-O'Brien Construction plays a crucial role in supporting field teams and managing project accounting operations. Requirements

  • Proficiency with Procore, Concur, DocuSign, and ERP systems to facilitate project and accounting operations
  • Strong attention to detail and organizational skills to ensure precision in project documentation and processes
  • Excellent communication abilities to support interaction with diverse teams and stakeholders
  • Knowledge of construction billing practices, lien waivers, and compliance documentation to maintain financial integrity
  • 2+ years of experience in construction administration or accounting support to provide reliable project coordination
  • Ability to work independently and collaboratively in a team environment to achieve project goals

Nice To Haves

  • Bilingual (Spanish-speaking) preferred to enhance communication with diverse teams
  • Familiarity with CCIP and LEED documentation processes is a plus for compliance and sustainability initiatives

Responsibilities

  • Enter time records for project team members and field crew to ensure accurate payroll and project tracking
  • Maintain and update jobsite directories in Procore to keep project information current and accessible
  • Manage jobsite office supply inventory and trailer setup to support operational efficiency
  • Assist in scheduling and managing jobsite calendars and meeting spaces to facilitate effective planning and coordination
  • Prepare and distribute meeting minutes and project documentation for record-keeping and transparency
  • Route commitments and change orders through Procore/DocuSign for signatures to streamline contract management
  • Ensure executed commitments are submitted to ERP for financial processing and compliance
  • Review vendor invoices for accuracy, resolve discrepancies, and process for payment to maintain financial accuracy
  • Support owner billing processes including data entry, documentation collection, and lien waiver preparation to ensure timely billing and payment
  • Assist with project closeout, documentation collection, and final turnover packages to ensure a smooth project completion
