About The Position

Wayne State University is seeking an experienced Project Coordinator for the Department of Oncology, focusing on Population Studies Disparities Research (PDSR) for Education and DEI Initiatives. This role will support the Department of Oncology’s mission to coordinate and integrate research and education, emphasizing the development of an inclusive cancer research workforce that serves the community. The position reports to both the Associate Center Director of Education and the Associate Center Director of Diversity, Equity, and Inclusion, providing crucial support to the research efforts of WSU’s National Cancer Institute (NCI) designated comprehensive cancer center. The work ensures the effectiveness of training programs for students and junior researchers.

Requirements

  • Knowledge of/experience in grant specific requirements.
  • Basic understanding of community school districts, advisory committees, health care systems and resources.
  • Demonstrated experience of volunteer/community work.
  • Strong Project Coordination Skillset: Self-motivated, adaptable, and efficient, able to initiate and complete tasks independently; detailed oriented with strong organizational and multi-tasking skills; works competently with ambiguity, possessing strong problem-resolution skills; flexible and able to support multiple and diverse projects within CRTEC and DEI.

Nice To Haves

  • Bachelor’s degree in public health, Health Services Administration, or other health related discipline preferred.
  • Proficiency in English, Arabic, and Spanish for diverse communication is preferred.
  • Master’s degree in a related field or an equivalent combination of education and experience.
  • One to two years of program, project, or administrative coordination experience, preferably in an academic, healthcare, research, or nonprofit setting.
  • Experience coordinating programs or events from planning through execution and closeout.
  • Experience processing financial, procurement, travel, reimbursement, honorarium, or vendor transactions through an institutional system.
  • Familiarity with Wayne State University systems is preferred.
  • Experience supporting NIH-funded programs, an NCI-designated cancer center, federally sponsored training grants, K-12 programs, or school-district partnerships.
  • Experience with program-evaluation data, survey platforms such as Qualtrics, structured data entry, dashboards, and descriptive reporting.
  • Experience handling confidential records under FERPA, HIPAA, or institutional policy and providing work direction to student employees or interns.

Responsibilities

  • Ensure projects are executed successfully and completed within time frames to meet research objectives, including maintaining work plans, task lists, project calendars, and coordinating complex schedules for initiatives within the Cancer Research Training and Education Coordination (CRTEC) and Diversity, Equity, and Inclusion (DEI) offices.
  • Provide support to cancer center leaders in writing research reports and manuscripts, developing presentations, contributing to grant submissions, and creating other materials.
  • Serve as a liaison to students, community members, and other cancer research entities, acting as a link between CRTEC, DEI, and other essential initiatives to assemble effective teams of researchers and subject matter experts.
  • Utilize artificial intelligence tools for drafting emails, summarizing notes, and conducting research to enhance efficiency.
  • Schedule, organize, and participate in internal and external meetings as the primary event coordinator, including developing agendas, setting itineraries, overseeing logistics (catering, facilities, A/V), and documenting outcomes.
  • Develop and analyze demographic surveys to inform strategic initiatives, policies, and programs assessing workforce and academic community diversity and inclusivity.
  • Coordinate daily operations for CRTEC programs, managing participant applications, communications, reviewer assignments, mentor matching, onboarding, attendance, rosters, alumni records, certificates, and recognition items.
  • Coordinate sessions, symposia, site visits, career panels, and advisory meetings, including speakers, transportation, registration, facilities, and day-of operations.
  • Process financial, procurement, and trainee travel transactions, including payment vouchers, purchasing-card documentation, invoices, vendor registration, honoraria, expense reports, reimbursements, index transfers, and approval routing.
  • Maintain complete financial and audit records.
  • Administer program surveys, monitor participation, clean and maintain data, update dashboards, conduct alumni and outcome searches, and prepare descriptive summaries.
  • Maintain CRTEC files, templates, confidential records, and program archives.
  • Support grant and report submissions, approval routing, partner records, joint-event logistics, and tracking of commitments and deliverables.
  • Perform other related duties as assigned.
