About Job Role Overview We are seeking a highly organized and people-focused Project Coordinator to support the day-to-day operations of a high-volume onsite research study. In this role, you will operate as the primary onsite coordinator — working independently to manage a continuous flow of participants throughout the day while delivering a seamless and professional experience from check-in to completion. You will work cross-functionally with a small remote team, manage participant logistics, handle sensitive data and payments, and proactively identify and mitigate any operational risks. Success in this role requires someone who is self-sufficient, calm under pressure, and confident making real-time decisions autonomously.

Requirements

  • 2+ years of experience in a project coordination, research operations, event coordination, or client-facing administrative role
  • Demonstrated customer service experience — comfortable engaging professionally with a high volume of people, resolving concerns on the spot, and consistently delivering a positive, welcoming experience
  • Experience working with or as part of a remote team — comfortable with async communication tools (e.g., Slack, Teams, email) and able to stay aligned with a distributed team without in-person oversight
  • Exceptional attention to detail and a strong commitment to data accuracy
  • Strong interpersonal and communication skills — both written and verbal
  • Ability to multitask, prioritize, and remain composed in a fast-paced, high-volume environment
  • Experience managing sensitive information with discretion and professionalism
  • Proficiency with Microsoft Office Suite (Excel, Outlook, Word) or equivalent tools

Nice To Haves

  • Background in user research, clinical study coordination, or participant-facing roles
  • Experience with participant management or CRM systems
  • Familiarity with consent and compliance workflows
  • Conflict resolution or de-escalation training or experience

Responsibilities

  • Greet, check in, and check out study participants in accordance with study protocols
  • Verify participant eligibility criteria prior to session start
  • Review and confirm consent forms are completed accurately and on file
  • Escort participants to the correct study areas and provide clear directions and guidance throughout their visit
  • Redirect participants and manage unexpected situations calmly and professionally
  • Serve as the primary onsite point of contact for participants, answering questions and providing real-time support
  • Communicate proactively and cross-functionally with a remote team spanning research, operations, and scheduling
  • Keep all stakeholders informed of participant status, schedule changes, and any issues that arise during sessions
  • Draft and send onsite communications, instructions, and reminders to participants as needed
  • Maintain meticulous records of participant check-ins, session statuses, consent documentation, and eligibility verification
  • Track study data accurately using internal systems or spreadsheets, ensuring all entries are complete and up to date
  • Audit records regularly to identify and correct discrepancies
  • Process and distribute participant payments and incentives in a timely and accurate manner
  • Maintain proper documentation of all transactions and resolve payment issues as they arise
  • Proactively identify and flag operational risks, participant concerns, or protocol deviations to the appropriate team
  • De-escalate any participant concerns, conflicts, or disruptions professionally and effectively
  • Escalate unresolved issues promptly to supervisors or relevant stakeholders
