About The Position

Arcadis is seeking a Project Assistant to join our team in supporting project administration work for multiple project managers and operations in the NY Area. This position is hybrid; the candidate should be able to easily come into the Clifton Park and/or Syracuse office as needed. They will be working locally with the project managers and project teams. This is an exciting opportunity for a self-motivated individual to join our team locally with support from one of the best-qualified consulting firms in the country. In this role, you will support multiple project teams by tracking project progress, preparing contract-related reports for management, monitoring budgets, and distributing routine project correspondence. The Project Assistant may also support professional, technical, and engineering staff with daily office administration, including scheduling meetings, coordinating travel, preparing and managing documents and spreadsheets, maintaining files, and meeting strict deadlines.

Requirements

  • Strong interpersonal and communication skills
  • Proficient in Microsoft Word, PowerPoint, Outlook, and Excel
  • Highly motivated, process-oriented, and committed to continuous improvement
  • Excellent time management and organizational skills, with the ability to prioritize work, meet deadlines, and manage multiple tasks, projects, and responsibilities simultaneously
  • Strong analytical skills and close attention to detail
  • Must be able to work overtime, as needed
  • 5+ years of related technical/administrative experience in a fast-paced-setting
  • Associate or Bachelor’s degree in business administration or related field or equivalent experience

Nice To Haves

  • 7 years of experience
  • Bachelor’s degree in Business, Accounting, Finance, or related field of study
  • Experience/Knowledge with Oracle (or other online database)

Responsibilities

  • Set up projects in Oracle; track and monitor project schedules and budgets; and administer project and financial management accounting activities for projects of varying size.
  • Prepare and analyze financial metrics reports for project managers.
  • Manage, organize, and maintain project documents and related materials.
  • Prepare client billing documents in accordance with contract requirements and verify that invoices comply with contract terms.
  • Coordinate with subcontractors on billing requirements.
  • Prepare contract terms compliance reports.
  • Develop complex reports and spreadsheets, conducting a high level of quality control of documents.
