About The Position

The Massachusetts Department of Mental Health (DMH) is seeking a Project and Administrative Coordinator with the Office of Behavioral Health Promotion and Prevention (OBHPP). As the Project and Administrative Coordinator, you will play an essential role in advancing grant-funded projects, supporting statewide partnerships, and helping drive data-informed strategies that promote mental health and wellness. This role involves maintaining compliance with grant requirements, preparing detailed progress reports, and supporting the overall administration of projects from initiation to completion. The Project and Administrative Coordinator performs administrative duties to support the Assistant Commissioner for the Office of Behavioral Health Promotion and Prevention, coordinating schedules, preparing meeting materials, and communicating with stakeholders. The Project and Administrative Coordinator manages data collection and analysis, prepares reports on program outcomes, and develops data-driven improvement recommendations.

Requirements

  • Knowledge of the methods used in the preparation of charts, graphs and tables.
  • Knowledge of the methods of general report writing.
  • Capacity to understand, explain and apply the laws, rules, regulations, policies, procedures, etc. governing assigned unit activities.
  • Ability to analyze and determine the applicability of data, to draw conclusions and make appropriate recommendations.
  • Ability to assemble items of Information In accordance with established procedures.
  • Ability to maintain accurate records.
  • Ability to prepare and use charts, graphs and tables.
  • Ability to prepare general reports.
  • Capacity to write concisely to express thoughts clearly and to develop Ideas In logical sequence.
  • Ability to follow written and oral instructions.
  • Ability to give written and oral instructions in a precise, understandable manner.
  • Ability to communicate effectively in oral expression.
  • Capacity to coordinate the efforts of others in accomplishing assigned work objectives.
  • Four years of full-time, or equivalent part-time, professional, administrative or managerial experience in business administration, business management or public administration the major duties of which involved program management, program administration, program coordination, program planning and/or program analysis.
  • At least one year of the required experience must have been in a supervisory capacity.

Responsibilities

  • Coordinate multiple projects simultaneously, ensuring timely completion and quality delivery.
  • Monitor program progress and evaluate outcomes to ensure effectiveness.
  • Develop project plans, and timelines. Monitor project progress and report regularly to DMH leadership.
  • Assist in the preparation of grant proposals, ensuring alignment with DMH's strategic goals and objectives.
  • Monitor grant-funded projects to ensure compliance with funding requirements and achievement of program goals.
  • Work with the Assistant Commissioner & Program Director to coordinate and facilitate project activities.
  • Engage partners and key stakeholders to ensure effective collaboration.
  • Offer expert technical support to community partners, coordinate training material development, and guide best practices in behavioral health promotion.
  • Collaborate with local organizations to strengthen community-based behavioral health initiatives.
  • Facilitate partnerships between the office and community stakeholders, engage with stakeholders, and represent the Office at events.
  • Provide administrative support to the office leadership.
  • Manage schedules, coordinate meetings, prepare briefing materials, and draft correspondence, reports, and presentations as needed.
