About The Position

We are seeking a highly detail-oriented Administrative Project Coordinator to support our construction team at our Lunenburg, MA headquarters. This position is heavily focused on administrative support, documentation, and tracking, and plays a key role in ensuring projects run smoothly behind the scenes. This is a fast-paced, team-oriented environment ideal for someone who excels at organization, accuracy, and managing high volumes of administrative tasks.

Requirements

  • Highly detail-oriented
  • Excels at organization, accuracy, and managing high volumes of administrative tasks
  • Experience with ViewPoint, B2W, or similar systems is a plus
  • Familiarity with construction project documentation (purchase orders, change orders, invoices, insurance certificates, bid bonds)
  • Proficiency in maintaining digital and physical filing systems
  • Ability to track deadlines, addendums, and required documentation
  • Experience with data entry and maintaining logs, spreadsheets, and reports

Responsibilities

  • Provide administrative support across all phases of construction projects
  • Assist with coordinating and organizing bid documentation, including pulling plans, tracking addendums, and distributing bid results
  • Prepare and maintain project documentation including purchase orders, change orders, and other internal records
  • Accurately track and organize project data, logs, and spreadsheets
  • Process and review invoices, ensuring accuracy in quantities and supporting documentation
  • Maintain organized digital and physical filing systems for all project-related documents
  • Support project setup and data entry across internal systems (ViewPoint, B2W, etc.)
  • Handle requests for insurance certificates, bid bonds, and related documentation
  • Assist with compliance documentation and reporting requirements
  • Provide general administrative support to Project Managers, Estimators, and field teams
