About The Position

We are seeking a highly organized and detail-oriented Project Administrator to join our growing team. This is an excellent opportunity for a recent graduate or early-career professional looking to build a career in project administration, document control, and engineering operations within a fast-paced consulting environment. In this role, you will work closely with Project Managers, Engineers, and internal teams to support the coordination, tracking, and management of project information and documentation. Your work will play a critical role in ensuring that projects run efficiently, documentation is accurate, and deliverables are issued on time.

Responsibilities

  • Provide day-to-day administrative support to project teams
  • Assist with coordination and tracking of project deliverables
  • Support project reporting, scheduling, and internal coordination activities
  • Format project documentation to company standards
  • Maintain accurate and organised project filing within SharePoint and internal systems
  • Track incoming and outgoing documentation using document registers
  • Support issuing and receiving documents between internal teams and external stakeholders
  • Assist with managing vendor and shop drawing documentation, including tracking and distribution
  • Coordinate document review processes, including initiating review workflows (e.g., Bluebeam sessions)
  • Support returning reviewed documents to vendors and stakeholders
  • Maintain project records, metadata, and folder structures
  • Assist with setup and maintenance of project sites in SharePoint
  • Support data entry and upkeep of project tracking tools and logs
  • Monitor and manage the Project Administration shared inbox
  • Review and triage incoming emails to determine required actions
  • Route, assign, and prioritise requests across the team
  • File correspondence and documentation in accordance with company standards
  • Use tools such as Colligo to manage and organise project emails
  • Act as a point of contact for project-related administrative requests
  • Support communication between project teams and stakeholders
  • Assist with distribution of project updates and documentation
  • Assist with administrative tasks including filing, data entry, and coordination activities
  • Support travel bookings and logistics when required
  • Provide backup support to the broader administration team
  • Ensure accuracy, quality, and completeness of project documentation
  • Support project teams in delivering work efficiently and on schedule
  • Maintain organised, accessible, and compliant project records
  • Contribute to a professional, responsive, and collaborative administrative team
