Job Description Summary: Reporting to the Director, Facilities Administration, the Project Administrator is responsible for administrative and business operations support including department operation, processes, coordination, and management of campus-wide Real Estate and Facilities activities.

Requirements

  • Bachelor’s degree or equivalent combination of education and experience.
  • Four years of related experience in essential duties and responsibilities.
  • Knowledge of project management, workflow creation, and process mapping.
  • Skilled in excellent customer service and interpersonal relationships.
  • Skilled using computerized applications and enterprise systems, including word processing, spreadsheet, and presentation software.
  • Ability to research, analyze and solve problems.
  • Ability to think critically to effectively solve and communicate problems in a fast-paced environment where the demands for work are varied, and unpredictable in scope and volume.
  • Ability to multi-task and work cooperatively with others.
  • This is a security-sensitive position and is restricted to U.S. citizens and legal permanent residents only.

Responsibilities

  • Provides program task management support in operations maintenance, construction, and renovation of campus infrastructure such as finance, document records, archiving, procurement, workflow, and compliance.
  • Prepares department process maps, program user guides and presentation materials such as workflow creation, source referencing and document writing.
  • Supports administrative and operational functions for enterprise and Integrated Workplace Management Systems.
  • Directly monitors the development and management of FAs' special projects, research, activities, and schedules.
  • Assists in the oversight of the Real Estate and Facilities functional programs compliance and implementation issues related to budget, procurement, and contract management.
  • Conducts research, audits, and prepares analytical schedules and reports regarding the responsibilities of FA functional programs.
  • Liaises and coordinates with related departments Coordinates office workflows, provides administrative support and assists with staff development and training.
  • Addresses common process questions and issues.
  • Reviews projects and contracts for compliance and takes appropriate actions to resolve discrepancies.
  • Assists in the preparation of progress reports for the Board of Regents.
  • Other duties as assigned.
