About The Position

The Project Administrator will be responsible for coordinating and overseeing day-to-day site logistics and support services. This role involves managing project facilities for both the project owner (Hydrostor) and the construction manager (Hatch), coordinating essential services such as portable toilets, showers, laundry, site trailers, security, and cleaning. The administrator will also monitor inventory, order supplies, and act as a liaison for vendors. Additionally, the position requires tracking daily personnel attendance, maintaining accurate records of site personnel and visitors, and compiling daily workforce reports. This role provides crucial administrative support to the remote Office Administrator and project management team, including document management, data entry, filing, and record retention. The Project Administrator will also coordinate meetings, manage site communications, and support onboarding activities for new personnel.

Requirements

  • 2+ years of administrative, office coordination, or project support experience, preferably within construction, engineering, or industrial environments.
  • Strong proficiency with Microsoft Office Suite (Word, Excel, Outlook, Teams).
  • Excellent organizational skills with the ability to manage multiple priorities simultaneously.
  • Strong attention to detail and ability to maintain accurate records.
  • Excellent verbal and written communication skills.
  • Ability to work independently while supporting multiple stakeholders.
  • Ability to work on an active construction project site.
  • Ability to walk throughout the project site and access various work areas as needed.

Nice To Haves

  • Experience with workforce tracking, vendor coordination, or project reporting is preferred.
  • Experience supporting construction projects, industrial facilities, or job site operations.
  • Familiarity with contractor workforce reporting and project documentation.
  • Experience working with project management teams and external vendors.

Responsibilities

  • Coordinate and oversee day-to-day site logistics and support services.
  • Manage project facilities utilized by the project owner (Hydrostor) and construction manager (Hatch).
  • Coordinate servicing and maintenance of portable toilets, handwashing stations, shower facilities, laundry services, site trailers and office spaces, security services, and cleaning and janitorial services.
  • Monitor inventory levels and order office and site supplies as needed.
  • Serve as a point of contact for vendors and service providers supporting site operations.
  • Track daily personnel attendance and workforce counts.
  • Maintain accurate records of site personnel and visitor activity.
  • Compile and submit daily workforce reports and other required documentation to Hatch and Hydrostor.
  • Assist with maintaining site logs and project records.
  • Provide administrative support to the remote Office Administrator and project management team.
  • Assist with document management, data entry, filing, and record retention.
  • Coordinate meetings, site communications, and distribution of project information.
  • Support onboarding activities for new personnel, including site access and administrative documentation.
  • Assist with special projects and additional administrative tasks as assigned.
