About The Position

E.H. Price Solutions, a division of Price Industries Limited, is seeking a Project Administration - Team Lead for its growing Montreal office. This role involves overseeing the day-to-day operational performance of the Project Administration Team, managing assigned projects, and providing guidance and support to team members. The ideal candidate will demonstrate strong leadership, attention to detail, and the ability to work under tight deadlines in a dynamic environment.

Requirements

  • DEP in office administration, business, or a related field
  • 3 to 5 years of experience in a similar position.
  • Bilingual; with excellent command of both French and English (spoken and written)
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
  • Understanding of basic accounting (billing - inventory - payables)
  • A strong passion for customer service
  • Excellent Organizational and time-management abilities
  • Ability to work well under pressure and meet tight deadlines
  • Ability to make informed decisions supported by strong analytical and problem-solving skills
  • Ability to adapt in a changing environment
  • Excellent leadership abilities and a drive for team success

Responsibilities

  • Supervise the day-to-day operations of the Project Administrator team
  • Lead by example through a hands-on approach, maintaining an active role in project administrative functions while dedicating the majority of time to team leadership, coaching, and operational oversight
  • Act as a primary contact for common ERP and procedural clarifications
  • Oversee personnel scheduling in collaboration with the support of the Director to ensure smooth departmental operations throughout the year
  • Verify order accuracy & task completion through portal management
  • Participate in the hiring and integration of new employees
  • Provide ongoing training coaching and support to team members
  • Report any invoice or order related issues to management
  • Monitor departmental objectives set by management and provide a concise weekly update to the Director summarizing team performance, workload balance, challenges, and key highlights.
  • Conduct bi-weekly one-on-one meetings with all team members with the guidance and support of the Director.
  • Perform periodic audits, as well as mid-year and end-of-year evaluations of team members’ performance with the support from the Director.
  • Draft, maintain and improve procedures for the project administration department and ensure their proper application subject to the Director’s final approval.
  • Manage your assigned projects and provide quality customer service throughout the duration
  • Create and place orders into our ERP system and gather all necessary administrative documents
  • Verify customer credit and ensure production timelines align with project deadlines
  • Submit equipment orders for production and modify them if required
  • Contact clients to collect all relevant information to ensure smooth order delivery
  • Issue denunciation forms when necessary
  • Coordinate with transport companies and schedule deliveries from factories to job sites
  • Handle project invoicing and act as a liaison with the accounting department to follow up on client billing
  • Ensure supplier invoices are accurate, approve them, and enter them into the ERP system
  • Perform any other related administrative tasks required.
