About The Position

E.H. Price Solutions, a division of Price Industries Limited, is seeking an Administration - Team Lead to support the Director of Project Administration. This role involves overseeing the day-to-day operational performance of the Administration Team, providing guidance and coaching, and ensuring the smooth execution of administrative processes such as accounts payable, accounts receivable, documentation management, and office operations. The ideal candidate will be a strong leader with excellent organizational and problem-solving skills, capable of working under tight deadlines and demonstrating a high level of autonomy.

Requirements

  • College certificate in office administration, business, or a related field
  • 3 to 5 years of experience in a similar position.
  • Bilingual; with excellent command of both French and English (spoken and written)
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel)
  • Understanding of basic accounting (billing - inventory - payables)
  • A strong passion for customer service
  • Excellent Organizational and time-management abilities
  • Ability to work well under pressure and meet tight deadlines
  • Ability to make informed decisions supported by strong analytical and problem-solving skills

Responsibilities

  • Supervise the day-to-day operations of the Administration team
  • Lead by example through a hands-on approach, maintaining an active role in administrative functions while dedicating the majority of time to team leadership, coaching, and operational oversight
  • Act as a primary contact for common administrative and ERP related questions within the department
  • Coordinate workload distribution to ensure administrative tasks and priorities are completed efficiently
  • Oversee personnel scheduling in collaboration with the support of the Director to ensure smooth departmental operations throughout the year
  • Verify accuracy and completion of administrative tasks including invoicing, payment applications, vendor invoice processing, and documentation management
  • Participate in the hiring and onboarding of new employees
  • Provide ongoing training coaching and support to team members
  • Report any invoice or order related issues to management
  • Monitor departmental objectives set by management and provide a concise weekly update to the Director summarizing team performance, workload balance, challenges, and key highlights.
  • Conduct bi-weekly one-on-one meetings with all team members with the guidance and support of the Director.
  • Perform periodic audits, as well as mid-year and end-of-year evaluations of team members’ performance with the support from the Director.
  • Draft, maintain and improve administrative procedures and ensure their proper application subject to the Director’s final approval.
  • Oversee accounts payable and receivable processes to ensure timely and accurate processing
  • Review and verify vendor invoices, ensuring they are coded, allocated, and entered correctly into the accounting system
  • Support the preparation and issuance of customer invoices and follow up on outstanding payments when required
  • Oversee the preparation and processing of administrative documentation including invoices, order acknowledgements, packing slips, tracking information, and other relevant records
  • Ensure proper organization and maintenance of physical and digital filing systems
  • Oversee the credit check preparation process for new customers and prepare approval documentation
  • Support office operations including incoming calls, visitor reception, and internal administrative coordination
  • Ensure office supplies and equipment are maintained and operational
  • Perform any other related administrative tasks required.
