About The Position

This funded position through the Canada Summer Jobs Program offers the opportunity to gain meaningful experience and learn practical skills associated with working in an organization that provides professional vision rehabilitation services. VLRC is seeking a motivated, detail-oriented Project Administration Officer to support the Eye Health Screening Initiative (EHSI) team with the coordination, implementation, and evaluation of activities related to the national diabetic retinopathy screening program. The successful candidate will contribute to initiative communications, partner engagement, data management, and administrative coordination. In this role, you will develop practical skills in administration, stakeholder coordination, data entry and quality assurance, content development, digital and accessible communications, and environmental scanning. The Project Administration Officer will assist with creating communications, inputting client survey data, updating referral information, developing contact and partner directories, and supporting mapping and research activities. This position also offers exposure to national health initiatives and the use of screening technologies and outreach models that improve early detection of vision-threatening conditions.

Requirements

  • Between 15 and 30 years of age (inclusive) at the start of employment
  • A Canadian citizen, permanent resident, or person on whom refugee protection has been conferred under the Immigration and Protection Act
  • Legally entitled to work according to the relevant provincial/territorial legislation and regulations. International students are not eligible.
  • Be enrolled in degree or diploma studies in related field.
  • Advanced skills in Microsoft Suite.
  • Excellent written and oral communications skills.
  • Strong research, analytical, and organizational skills with the ability to prioritize tasks and manage multiple deadlines effectively.
  • Professional, articulate, confident presenter.
  • High level of attention to detail and accuracy.
  • Ability to maintain confidentiality.

Responsibilities

  • As directed by management, support the implementation of project and administrative activities related to the diabetic retinopathy screening program.
  • Support the development, formatting, and editing of EHSI communication materials (e.g., event posters, social media content, infographics).
  • Input client survey data into the EHSI online platform, maintaining accuracy and data quality standards.
  • Provide operational administrative support, including contacting clients to collect missing referral information such as health card numbers, dates of birth, and other required details.
  • Assist with partnership mapping by creating an interactive map outlining current partners, regional bodies, and related organizations.
  • Develop and maintain a centralized EHSI contact directory.
  • Develop a national directory of ophthalmologists, including relevant specialties.
  • Create and maintain an events calendar of relevant health fairs, conferences, and other opportunities.
  • Support environmental assessments and research on national and international diabetes strategies, programs, and emerging practices.
  • Complete evaluation at the end of placement to provide feedback on experience and provide a detailed report on activities/projects completed.
