About The Position

Openhouse seeks a positive, compassionate, caring, creative, organized, and experienced candidate for this unique role supporting Community Engagement Programs (CEP) and providing trainings on behalf of Openhouse. The Programs Coordinator & Trainer (PCT) will help support the coordination and delivery of our direct services and community programs that promote engagement, health, and wellness for lesbian, gay, bisexual, transgender, and queer (LGBTQ) older adults in the San Francisco Bay Area. The PCT will also support a variety of administrative aspects of programming to ensure the effective, comprehensive, and cohesive running of Openhouse programs. The PCT will also deliver trainings on behalf of Openhouse, to fulfill requirements set by the SF Dept. of Disability & Aging Services, the Alzheimer's Association, and others. This position requires flexibility to work occasional evenings and weekends and to participate in community-based activities as necessary to meet program and contractual obligations. This position is funded in whole or in part through grant and/or contract funding. Continued employment in this role is dependent upon the availability of funding and programmatic need.

Requirements

Minimum 3 years’ experience in coordinating, developing, and implementing activities/events.
Minimum 2 years’ experience working collaboratively across departments for program implementation.
Excellent interpersonal skills.
Strong English-language communication skills, both written and oral.
Proficiency in creating aging appropriate outreach materials including flyers and newsletter content.
Proficient with Microsoft Office Suite and the ability to quickly learn software programs and online databases and tools.
Ability to maintain confidentiality when dealing with sensitive and proprietary information.
Creative problem-solving skills and the ability to prioritize multiple tasks.
Excellent time management skills and attention to details.
Experience providing trainings, delivering curriculum, or similar experience.
Fluency in written and spoken English.
Criminal history background check (post-conditional offer)
Full COVID vaccination required (or approved accommodation).

Nice To Haves

Ideally has experience working with older adults with a range of cognitive capacities and physical abilities in group settings.
Public speaking experience
Experience working with older LGBTQIA2S++ adults or equivalent experience working with other populations with unique socialization and service needs including but not limited to dementia and Alzheimer’s disease, behavioral health, caregiver wellness, traumatic brain injury, etc.
Sensitivity to and knowledge of the unique life experiences, challenges, and strengths of the communities supported by Openhouse’s mission.
Open to both academic and lived experiences.

Responsibilities

Support with the coordination and implementation of Openhouse programming on-site and off-site that aims to increase feelings of connection and well-being and decreases isolation in the LGBTQ Older Adult community.
Assist with and oversee the logistics to make events and programs possible such as supporting the implementation of virtual programming, supporting promotional and advertising efforts, managing supplies inventory
Attend relevant trainings as directed by the Manager of Community Engagement.
Administration related to the receiving and recording of RSVPs, managing the RSVP phone line and email inbox, and communicating effectively with community members as needed around program attendance, including outreach calls, etc.
Support with managing programs-specific data forms: sign-in sheets, registrations, annual Consumer Satisfaction Surveys, program evaluation and other required documentation as required by the SF Department of Disability and Aging Services and other funders.
Regularly utilizing information from sign-sheets and RSVP documents to ensure accuracy/update NeonOne Community Engagement data entry as needed.
Activity setup and breakdown, including moving tables and chairs.
Facilitate training programs on a variety of topics related to LGBTQIA+ issues, including but not limited to gender identity, sexual orientation, intersectionality, allyship, and anti-discrimination laws and policies.
Deliver trainings in-person or virtually, using a variety of instructional techniques and technologies.
Collect feedback from training participants and incorporate it into future training programs.
Assist with outreach and marketing efforts to promote the organization's training programs and services.
Ensuring administrative tasks are completed, including collecting survey responses, registrations, and attendee roster collection.
Immediately report suspected elder or dependent adult abuse to Adult Protective Services (APS) or appropriate authorities.
Complete required written follow-up reports within statutory timelines.
Participate in mandated reporter training as required by DAS and state law.
Maintain documentation of compliance with reporting obligations.
Participate in weekly case team meetings.
Consult regularly, as needed, with the Deputy Director regarding Training outreach, opportunities, scheduling, and tracking.
Maintain confidentiality in compliance with HIPAA and other privacy regulations.
Provide services in a culturally responsive, LGBTQ-affirming, and trauma-informed manner.
Other duties as assigned by Manager of Community Engagement.
