About The Position

Volunteers of America Northern California & Northern Nevada (VOA-NCNN), a Certified Great Place to Work, is recruiting for a full-time Program Support Specialist for our Singles Program at the Mather Community Campus. VOA-NCNN is a ministry of service with nearly 500 paid, professional employees dedicated to helping those in need rebuild their lives and reach their full potential. Founded in 1911, VOA-NCNN is one of the largest providers of social services in the region, operating over 40 programs including housing, employment services, substance abuse, and recovery services to families, individuals, veterans, seniors, and youth. Our mission is to change individual lives, instill hope, increase self-worth and facilitate independence through quality housing, employment, and related supportive services. This position provides direct support to the Program Manager, coordinates client intake and referrals, and performs clerical duties for the Mather Community Campus. It also involves compiling data for case management, software management, coordinating daily activities, meeting arrangements, and interaction with outside service providers.

Requirements

High school diploma.
Proficiency in Microsoft Office Suite.
Ability to learn and utilize various databases.
Demonstrated ability in record keeping.
Strong communication skills, both verbal and written.
Ability to work independently while being able to work as a team member.
Basic understanding of severe mental health, physical health, and substance use issues and symptoms.
General knowledge of issues and challenges unique to homelessness, substance abuse, mental health, young adults, minorities, and people with disabilities.
Ability to provide a kind and welcoming environment to all visitors and a professional demeanor.
Valid California driver's license and ability to meet the organization’s insurance carrier guidelines.
Must pass all required background clearances in accordance with agency, County, State, and federal standards.
CPR/First Aid certification is required within 90 days of employment.
Completion and maintenance of all required training and health clearances.

Nice To Haves

Prior experience using Credible, HMIS is preferred.
Experience in social service programs is preferred.

Responsibilities

Coordinate client intake and referral process, following up with program applicants, and scheduling in-person screening appointments.
Prepare monthly billing reports for the County, including internal spreadsheets entries.
Set up and maintain client records, including move-ins and move-outs, in databases including but not limited to Credible, HMIS and OneSite. Enter client information and upload required documents into HMIS.
Ensure unit readiness in partnership with support and maintenance staff.
Update spreadsheet and distribute weekly occupancy reports to County, VOA COO, and Program Manager.
Disseminate monthly health and safety materials, schedule drills, and track staff compliance.
Provide required documentation for client status update to Sacramento County.
Perform clerical activities including reception duties and answering telephone.
Establish and maintain files.
Maintain office equipment and arrange for repair when necessary.
Order supplies as needed.
Participate in VOA and outside training.
Perform other reasonably related duties as assigned.
