About The Position

The Program Manager is responsible for the day-to-day management, coordination, and implementation of CDC-funded programs and initiatives that advance leadership development, workforce capacity, organizational effectiveness, health equity, and HIV-related outcomes. Reporting to program leadership, this role oversees the Center to End the Epidemic, including implementation of the Workforce Development and Sustainability for CBOs project under the CDC PS24-0020 grant. The Program Manager manages work plans, timelines, deliverables, participant and partner engagement, grant-related activities, and cross-functional collaboration to ensure program goals, funder requirements, and organizational objectives are achieved. The position also supports strategic planning, program evaluation, and continuous improvement efforts while coordinating multiple projects and stakeholders. Success in this role requires strong organizational, communication, and relationship-management skills, attention to detail, and a deep understanding of HIV, health equity, and communities of color. This position is designated for an internal candidate with demonstrated knowledge of NMAC's mission, programs, and operational processes.

Requirements

Bachelor’s degree required in Public Health, Public Administration, Social Work, Education, Communications, or a related field.
3–6 years of experience in nonprofit program management, public health, community engagement, HIV-related programs, workforce development, leadership development, or a related field.
Familiarity with the goals and objectives of the Center to End the Epidemic and its strategic priorities.
Demonstrated experience coordinating grant-funded programs, projects, or initiatives.
Demonstrated ability to manage multiple projects, deadlines, and competing priorities in a fast-paced environment.
Strong critical thinking, problem-solving, and decision-making skills, with the ability to anticipate challenges and develop practical solutions.
Ability to work independently, exercise sound judgment, and take initiative while maintaining effective communication and collaboration with supervisors, colleagues, and external partners.
Entrepreneurial mindset with the ability to identify opportunities, drive innovation, and adapt to evolving program and organizational needs.
Ability to facilitate and participate in virtual and in-person meetings, trainings, conferences, and events.
Proficiency with digital communication, project management, virtual meeting, and collaboration platforms.
Ability to maintain productivity, accountability, and effectiveness in a primarily remote work environment.
Willingness and ability to travel nationally for conferences, stakeholder meetings, program activities, and other organizational events as needed.

Nice To Haves

Master’s degree preferred but not required.
Experience working with community-based organizations, public health agencies, or nonprofit organizations preferred.
Experience coordinating trainings, workshops, meetings, or leadership development activities preferred.
Experience with program tracking, reporting, evaluation, or data collection preferred.
Familiarity with HIV prevention, treatment, care, health equity, and/or health disparities strongly preferred.
Experience working with communities of color and populations disproportionately impacted by HIV strongly preferred.

Responsibilities

Provide supervision, coaching, mentoring, and performance feedback to assigned staff.
Support employee onboarding, goal setting, professional development, and performance management processes.
Monitor workload distribution and ensure timely completion of assigned responsibilities.

Ensure program activities are aligned with NMAC’s mission, values, strategic priorities, and funder requirements.
Contribute to the development and improvement of program processes, tools, and procedures.
Manage the day-to-day operations of assigned programs.
Coordinate meetings, trainings, webinars, workshops, learning sessions, and other program activities.
Develop agendas, meeting materials, participant communications, and follow-up documentation.
Maintain accurate program records, calendars, databases, and tracking systems.
Coordinate participant recruitment, enrollment, communications, and engagement activities.
Work closely with internal departments to coordinate program logistics and deliverables.
Support the successful execution of virtual, hybrid, and in-person program activities.
Support the design and implementation of leadership development, workforce development, and capacity-building activities.
Coordinate workshops, webinars, peer-learning sessions, training institutes, and other educational activities.
Support the development and refinement of curricula, participant materials, toolkits, and other program resources.
Coordinate with trainers, facilitators, coaches, and subject matter experts.
Facilitate selected meetings, workshops, or learning sessions as appropriate.
Support program participants in accessing leadership development and professional learning opportunities.
Support the implementation of grant-funded programs in accordance with federal, private, and organizational requirements.
Track grant deliverables, milestones, activities, and reporting deadlines.
Maintain documentation necessary for grant reporting and program compliance.
Monitor program-related expenditures in collaboration with Finance and program leadership.
Assist with preparation of funder reports, program updates, success stories, and supporting documentation.
Identify and communicate potential compliance or performance issues to program leadership.
Ensure program activities and documentation are completed accurately and on time.
Monitor assigned program budgets in collaboration with Finance and program leadership.
Track program expenditures and anticipated expenses.
Review invoices and consultant or contractor documentation as assigned.
Support procurement and contracting processes for program-related services and activities.
Help ensure program resources are used effectively and in accordance with approved budgets.
Support the recruitment and coordination of consultants, facilitators, trainers, evaluators, and subject matter experts.
Communicate expectations, timelines, and deliverables to consultants and contractors.
Track consultant deliverables and escalate concerns to program leadership when necessary.
Build and maintain positive working relationships with community-based organizations, public health partners, training organizations, and other stakeholders.
Coordinate partner communications and support collaborative program activities.
Represent NMAC professionally and respectfully in interactions with external partners.
Represent assigned NMAC programs at meetings, conferences, trainings, and community events.
Support the development of presentations, abstracts, posters, panels, and other materials highlighting program activities and outcomes.
Participate in national HIV, public health, leadership development, and health equity convenings.
Support opportunities for program participants and community partners to engage in national leadership and advocacy spaces.
Maintain awareness of emerging issues, practices, and trends affecting communities impacted by HIV.
Work with evaluation staff to collect and maintain program data.
Track participation, engagement, performance indicators, and other program outcomes.
Collect participant feedback and identify opportunities for program improvement.
Support surveys, interviews, focus groups, and other evaluation activities as appropriate.
Contribute to program reports, presentations, briefs, and other materials documenting program impact.
Use program data and stakeholder feedback to recommend operational improvements.
Prepare clear and timely program updates, reports, correspondence, and other written materials.
Maintain organized and accurate program files and documentation.
Communicate effectively with internal teams, partners, consultants, participants, and funders as assigned.
Ensure program communications reflect NMAC’s commitment to equity, inclusion, and community-centered engagement.
