About The Position

The Program Coordinator is responsible for providing a broad range of support in contribution to the development, implementation, and success of projects and programs for NYU Grossman School of Medicines Department of Education, Faculty and Academic Affairs. Collaborates with internal and external parties to ensure proper communication, engagement, compliance, and education to achieve programmatic success. Promotes and supports activities including, but not limited to, gathering, collecting and analyzing data, overseeing program and/or project timelines, organizing and coordinating seminars, and training programs.

Requirements

  • Bachelor's degree or equivalent in business administration, health care administration or related field or an equivalent combination of education and relevant experience.
  • Proficiency in using various Microsoft Office applications such as Word, Excel, Access, PowerPoint and Outlook.
  • Familiar with Internet applications.
  • Effective oral, written, communication, interpersonal skills.
  • Ability to interface effectively with all levels of management and must work and communicate effectively with both internal and external customers.
  • Ability to work within a team environment as well as independently.
  • Time management skills and ability to work well under pressure.
  • Ability to Project/Program manage and to multi task while paying attention to details.
  • Qualified candidates must be able to effectively communicate with all levels of the organization.

Responsibilities

  • Work/communicate with internal and external parties to organize and coordinate the various components needed to initiate, run and conclude program activities
  • Assist in developing departmental plans, goals, objectives, policies, and procedures.
  • Review workflow and might recommend improvement if applicable to ensure appropriate cycle times and efficiency.
  • Appropriately prioritize and follow up on incoming issues.
  • Independently prepare and review documents and generate status/progress reports for ongoing and pending programs which may include moderate analysis of findings.
  • Maintain departmental data in appropriate internal and external databases (e.g.Peoplesoft, OneDrive, etc.)
  • Design and disseminate surveys, establish a format for data analysis, run routine and ad hoc reports, as requested.
  • Research problems, issues and concerns through data analysis and other means, and responds to requests for information and present findings as applicable.
  • Assist in developing materials and presentations for training and educational sessions, departmental seminars, and other activities.
  • Track and measure programs against long- and short-term department goals for virtual and in-person events and programs.
  • Tracks program-related requisitions, reimbursements, expense reports, and related invoice payments.
  • Organize and coordinate schedules, activities, and special events.
  • Coordinate all preparation activities (checking and coordinating the logistics, technical support, making food and beverage arrangements, etc.) and other related tasks.
  • Perform other duties as assigned.
