About The Position

The Department of Psychiatry and Behavioral Sciences has an outstanding opportunity for a Temporary Program Coordinator. The Department of Psychiatry and Behavioral Sciences is the third largest department within the School of Medicine. The department supports over 330 full-time faculty members, 460 courtesy faculty members, and 350 staff, with overall annual operations funding from all sources exceeding $150 million supporting the work of faculty providing clinical services, a highly competitive residency training program, a robust research portfolio, and more. This 75% FTE Program Coordinator 1 position will support the Center for the Study of Health & Risk Behaviors in the Department of Psychiatry and Behavioral Sciences. The position will support dissemination activities for Conéctate Contigo Mismo, a Spanish-language online prevention and wellness program for young adults ages 18–29. The employee will work closely with faculty and staff supervisors to coordinate day-to-day program marketing, outreach, and dissemination efforts.

Requirements

High school graduation or equivalent AND two years of experience in the program specialty.
Fluency in Spanish and English, including reading, writing and speaking.
Excellent verbal and written communication skills.
Experience in outreach and/or customer service, especially with community organizations, public health, prevention, education or related fields.
Strong organizational skills and attention to detail.
Knowledge of social media platforms (especially Instagram) and basic Canva design skills.
Ability to work independently.
Ability to attend community events, presentations, and outreach activities including occasional evening or weekend events.

Nice To Haves

Experience working with Spanish-speaking Latinx communities in Washington State, especially young adults ages 18-29.
Experience giving community presentations and/or public speaking.
Knowledge of prevention, behavioral health, public health, or health promotion programs.
Experience using social media advertising platforms and content creation tools.
Experience in events, experiential marketing, or brand promotion.

Responsibilities

Develop and maintain relationships with community agencies, organizations, schools, healthcare providers, and other stakeholders that represent Spanish-language communities in Washington State.
Conduct in-person and online outreach in English and Spanish to prospective community partners to increase program awareness.
Provide information and program marketing materials to community stakeholders in a timely manner to fit outreach needs.
Collaborate with community partners to support dissemination efforts by identifying and following up on opportunities for ongoing engagement and collaboration.
Represent our program at community meetings, events, health fairs, and other in-person and online outreach activities.
Coordinate and monitor posting and engagement for program social media accounts and advertising campaigns.
Assist in the development of culturally and linguistically appropriate outreach materials, advertisements, and promotional content including translation from English to Spanish as needed.
Support team with presentations, workshops, webinars, and other outreach media as needed.
Track and maintain records of outreach contacts, partnerships, and dissemination activities for reporting and evaluation purposes.
Identify community events and outreach opportunities aligned with program goals.
Coordinate participation in community events, including communication with event organizers, logistical planning, and event registration.
Manage, organize, and transport outreach materials to and from tabling and outreach events (e.g. tablecloths, signs, banners, etc.)
Distribute promotional materials and engage directly with community members at events.
Monitor program email address daily and respond to inquiries as needed in a timely manner.
Give timely status reports and updates to project team about outreach and dissemination activities on weekly calls and via email.
Manage invoices and maintain accurate financial records related to outreach and dissemination activities.
Assist with budget tracking and upload financial documentation into fiscal management systems and university portals as needed to ensure compliance with project and institutional procedures.
Assist in preparing and proofing reports for funders or other community stakeholders as needed.
Assist with translating between English and Spanish as needed for program updates and communications.
Must be willing and able to travel to support community outreach, dissemination, presentations, and partnership-building in communities across Washington State. Travel may include attending community events, health fairs, conferences, organizational meetings, and other outreach opportunities. Occasional evening and weekend travel may be required.
Must possess a valid driver’s license and have reliable transportation, or be able to travel independently to outreach locations. Mileage is reimbursed for all outreach activities.
