About The Position

Provide administrative support for the College of Leadership and Public Service, working under the direct supervision of the Manager of Budgets and Administration. This role primarily focuses on the undergraduate programs: Fred D. Gray Institute for Law, Justice and Society and Environmental and Sustainability Science.

Requirements

  • Working knowledge of Word, Excel, Mac Computer or PC (Windows)
  • Positive and helpful attitude to meet the appropriate requests of professors, students, and other supporters of the college
  • Willing to become proficient in university software

Responsibilities

  • Maintain and monitor expenditures within business office guidelines, including visa expenses and processing of invoices.
  • Keep spending reports for travel courses.
  • Input classes in the campus software program and ensure classroom assignments.
  • Work with Directors to ensure all required textbooks are entered on bookstore software.
  • Learn and provide assistance with the Fred Gray room technology and maintain its working order.
  • Follow through on graduation verification forms.
  • Check the accuracy of graduation programs for undergraduate COLPS students.
  • Work with the LJS director to understand and execute all logistics for travel courses to Washington, DC and Europe, including transportation, lodging, and meals.
  • Collect and report data for the College under the direction of the Dean through appropriate software.
  • Maintain a calendar/schedule and coordinate with other campus and college areas for the use of the Fred Gray room.
  • Assist directors in maintaining a record of alumni contact information.
  • Complete academic catalog revisions for the college annually.
  • Perform general office support duties including answering phones, responding to emails, greeting visitors, mail pickup and sorting, operating office equipment (printer/copier), and purchasing office supplies.
  • Keep the supply room organized.
  • Assist with academic and community events involving the College of Leadership and Public Service.
  • Assist in day-to-day operations as needed.
  • Other duties as assigned.
