About The Position

Harborview Rehabilitation Medicine has an outstanding opportunity for a Program Coordinator/Scheduler. This is a full-time, 100% FTE (40 hours per week) position on the Day Shift, working Mondays through Fridays from 8:00 am to 4:30 pm. The role is on-site with no telework. Harborview ranks among the nation's top hospitals in rehabilitation care, neurology, neurosurgery, and orthopedics and is the only Level I trauma and burn center in the region. The Rehabilitation Medicine Clinic at Harborview Medical Center offers comprehensive care for adults recovering from spinal cord injury, traumatic brain injury, stroke, amputations, and COVID-19, including follow-up care for UW Medicine patients and post-COVID rehabilitation. The care team is multidisciplinary, working together to optimize patient recovery.

Requirements

  • High school graduation or equivalent
  • Two years of experience in the program specialty
  • Equivalent education/experience may substitute for minimum qualifications except when there are legal requirements, such as a license, certification, and/or registration.

Responsibilities

  • Triage medical information in a specific medical or surgical specialty
  • Schedule post-surgery diagnostic procedures and follow-up patient appointments
  • Act as a liaison between patients, consulting physician, referring physician, or outside agency to coordinate patient appointments, admission, or surgery. Will coordinate the exchange of information either written or verbally before and after patients are seen
  • Act as a liaison between insurance and providers for authorization requests
  • Coordinate multiple specialty clinic appointments
  • Obtain all necessary medical records, diagnostic studies, pathology items, etc., that are needed for patient care
  • Assist in scheduling new patient appointments by triaging to appropriate department and physician
  • Enter appointment information in online appointment system
  • Coordinate pre-admission tests and procedures
  • Review and update patient demographics
  • Update and verify insurance
  • Submit prior authorizations for procedures and medication
