About The Position

Under the general direction of the Simulation Operations Manager of the Department of Professional Development and Simulation, the Program Coordinator will provide primary operational oversight for LHMC’s ACLS, BLS, and RQI programs. This role is responsible for course scheduling and coordination, learner and instructor support, record management, data tracking, and quality/compliance-related administrative processes required for life support training. The position also provides ongoing administrative support to Simulation Center operations, including scheduling, communications, documentation, and event logistics as needed.

Requirements

  • High school diploma required
  • Current BLS and/or ACLS Provider and Instructor certification.
  • Minimum of 1-3 years in a clinical healthcare profession required
  • Prior administrative/program coordination experience required
  • Strong attention to detail; comfort working in compliance-focused processes.
  • Ability to prioritize and manage multiple deadlines independently.
  • Clear and professional communication with learners, instructors, and leaders.
  • Strong problem-solving and follow-through; ability to escalate appropriately.
  • Proficiency with Microsoft Office (Outlook, Excel, Word, Teams) and data tracking systems.

Nice To Haves

  • Associate’s degree or higher preferred.
  • Experience with simulation in healthcare education preferred.
  • Experience supporting clinical education, training programs, or healthcare operations preferred.
  • Experience supporting ACLS/BLS course operations and/or RQI administration.
  • Familiarity with American Heart Association’s Atlas website.
  • Experience in a simulation center, education department, or other clinical training environment.
  • Clinical background is preferred.

Responsibilities

  • Coordinates ACLS and BLS course logistics, including annual calendar support, course scheduling, room reservations, registration/rosters, and participant communications.
  • Serves as the primary contact for learners, instructors, departments, and training sites regarding course requirements, logistics, and completion processes.
  • Prepares course materials and equipment checklists; supports set-up/tear-down and ensures training spaces are ready for delivery.
  • Supports post-course processing, including completion documentation, data entry/reporting, and distribution of course completion documentation/cards per program policy.
  • Troubleshoots day-of-course issues, escalates concerns appropriately, and supports a high-quality learner experience.
  • Supports daily administration of the RQI program including enrollments, access support, scheduling workflows, and customer service for learners and departments.
  • Coordinates operational readiness of RQI stations by monitoring supplies and functionality; submits maintenance tickets and follows up with appropriate teams/vendors.
  • Tracks participation/compliance metrics and prepares routine reports for leadership, committees, and stakeholders as requested.
  • Assists with communications related to assignments, due dates, remediation pathways, and policy updates.
  • Maintains secure systems for course documentation, rosters, evaluations, record retention, and other required program files.
  • Supports the secure handling and distribution of course exams/materials and completion documentation in accordance with program policy.
  • Assists with internal quality monitoring activities including evaluations, audits, corrective actions, and documentation readiness for reviews.
  • Helps ensure instructor profiles, course records, and program files remain current and accurate.
  • Supports instructor onboarding logistics, documentation tracking, and routine communications.
  • Assists with instructor scheduling, roster management, and dissemination of program updates.
  • Helps coordinate instructor meetings, updates, and required administrative processes tied to instructor status.
  • Provides administrative support to Simulation Center operations, which may include: scheduling support, room bookings, and calendar coordination.
  • Creates and maintains tracking tools, rosters, evaluations, and routine reporting.
  • Assists with communications (course announcements, reminders, flyers as assigned), supporting documentation management and shared-drive organization.
  • Assists with supply ordering, inventory tracking, and basic invoice support.
  • Supports simulation event logistics as needed, including space readiness, room turnovers, and coordination with simulation staff.
  • Supports department initiatives, task forces, or committees related to resuscitation education, emergency response, and/or simulation operations.
  • Collects and summarizes operational data to support continuous improvement.
