About The Position

Within the Stead Family Department of Pediatrics, this position coordinates administrative, operational, and fiscal responsibilities requiring a high degree of discretion, leadership, and independent judgment in the Division of General Pediatrics & Adolescent Medicine and the Division of Pediatric Hospital Medicine. This includes managing the business operations of programs and services such as Outpatient General Pediatrics, Inpatient Hospitalists, Adolescent Medicine, Pain and Palliative Care, Child Protection, and Sports Medicine physicians in general pediatrics, to improve the delivery of clinical services. The role reports to the Departmental Administration, General Pediatrics & Adolescent Medicine Division Director, and Pediatric Hospital Medicine Division Director.

Requirements

  • Bachelor’s degree in healthcare or business administration, finance, accounting or a similar discipline; or an equivalent combination of education and experience.
  • 1-3 years of related healthcare, business or program/project management experience.
  • Excellent written and verbal communication and interpersonal skills.
  • Proficiency in computer software applications (MS Word, Excel, PowerPoint, and Outlook).

Responsibilities

  • Coordinates the daily operational and financial activities for multiple clinical programs, services, and sites within the General Pediatrics & Adolescent Medicine and Pediatric Hospital Medicine Divisions.
  • Assists in the development and implementation of clinical operations, service lines, and strategic initiatives in collaboration with leadership.
  • Serves as an administrative liaison between the Divisions and Department of Pediatrics Administration.
  • Monitors project status, analyzes data (including schedules, templates, and distribution of clinical learners), evaluates clinical template efficiency against productivity targets, develops reports, and oversees activities.
  • Engages in performance monitoring and assessment of operational metrics (productivity, appointment access, panel management, etc.) and develops recommendations for operational changes.
  • Collaborates with leadership at offsite ambulatory pediatric locations on space, clinical efficiencies, and template management.
  • Supports programmatic functions of Ambulatory General Pediatrics, Inpatient Hospitalists, Adolescent Medicine, Pain & Palliative Care, Child Protection Services, and general pediatric physicians in Sports Medicine.
  • Coordinates operational and administrative duties among Divisional support staff.
  • Provides administrative supervision and performance evaluation of Divisional support staff, including direction, assignments, feedback, coaching, and counseling.
  • Hires, develops, and manages the performance of Divisional support staff in collaboration with Department Administration.
  • Approves bi-weekly timecards for Divisional faculty, staff, and support staff using the Enterprise Labor Management System (ELMS).
  • Provides financial oversight of divisional expenses, clinical billing and charges, and revenue for the entire revenue cycle.
  • Maintains knowledge and understanding of divisional expenses to meet fiscal year budget expectations and advises Administration on budgetary needs or discrepancies.
  • Assists Administration Leadership with the development of budgets for programs and services.
  • Functions as a strategic business partner with Division Directors and Department Administration, supporting the planning, development, coordination, and implementation of short- and long-range goals.
  • Assists with implementing strategic initiatives to improve productivity, access, efficiency, customer service, and quality outcomes.
  • Collaborates with leadership to develop project plans, including scope, objectives, metrics, resource requirements, deliverables, milestones, timelines, and sustainability plans.
  • Identifies data needs, determines collection methods, facilitates data collection, and identifies barriers, gaps, or risks to be addressed with leadership.
  • Maintains knowledge of contracts and Professional Services Agreements (PSA) associated with the Division.
  • Performs other duties as assigned by Departmental or Divisional leadership.
