About The Position

Reporting to the Program Manager, Corporate Learning, the Program Coordinator is the primary point of contact for the coordination and administration of the Corporate Learning and Development branch. The role provides guidance and support to staff, clients, and external vendors, and oversees the effective delivery of administrative, financial, and vendor-related processes. The Program Coordinator supports branch operations through coordination of budgeting, scheduling, and vendor activities, and plays a key role in ensuring the accuracy, consistency, and integrity of administrative and financial processes. The role contributes to branch planning and decision-making by maintaining financial documentation and supporting reporting requirements. The position is responsible for resolving escalated administrative issues and providing functional supervision to Program Assistant staff. The Program Coordinator also identifies and implements process improvements to enhance efficiency, compliance, and service delivery, in alignment with Corporate Learning’s mandate and the City's strategic direction.

Requirements

  • Completion of 2 year community college diploma in Business Administration or related field
  • Minimum 3 years of progressively responsible administrative and budget related experience, 2 years of which must include working in a client service environment
  • Minimum of 1 year working with SAP (preferably Training & Events Module)
  • Budget management and statistical record keeping and tracking techniques
  • MS Office Suite (Advanced Excel, Word, Power Point and Outlook)
  • Set up and troubleshooting of all equipment (Projectors, Laptops, DVD players)
  • General knowledge of City of Ottawa policies and procedures
  • General office procedures including file and records management
  • Strong working knowledge of current technology with ability to research and independently learn to use new solutions
  • Familiar with The Accessibility for Ontarians with Disabilities Act (AODA)
  • Knowledge of applicable health and safety legislation, including the rights and duties of workers.
  • Project Management skills
  • Ability to compile, organize, analyze, and summarize budget data information accurately and efficiently
  • Must maintain a strong network of internal and external contacts to assist in achieving business goals
  • Understand the impact of decisions on the Learning Centre and the ability to strive to improve business performance. Have an awareness of business issues, processes and outcomes as they impact the Learning Centre and its reputation
  • Aid and assist in developing and maintaining an environment which embraces innovation, and efficiently integrates change into the Learning Centre
  • Serve the clients interest through focusing individual, team and organizational effort on identifying and meeting key and diverse client needs
  • Work both independently and collaboratively with Managers, staff and external providers
  • Communicate effectively both verbally and in writing
  • Maintain strict attention to detail and accuracy in record keeping

Responsibilities

  • Coordination and administration of the Corporate Learning and Development branch.

  • Lift printed matter and move training equipment (up to 30lbs.).
