About The Position

Acts as liaison with MUSC COM departments and outside institutions when coordinating continuing medical education activities for university, statewide, regional and national audiences. Makes independent decisions during planning and developing conferences. Responsible for developing budgets for proposed activities and monitoring same budgets. This position also uses discretionary judgment by ensuring compliance with ACCME (Accreditation Council for Continuing Medical Education) guidelines and policies. The AMA PRA Category 1™ credit provided by the MUSC Office of CME is necessary for continuance of licensure for all MDs and DOs.

Requirements

  • Bachelor's degree and one year of relevant experience required.
  • Experience as meeting planner/ medical education program coordinator is required due to the high volume and complexity of the job.
  • Excellent organizational, verbal and written skills are required.
  • Maturity, diplomacy, professionalism, and ability to work independently are vital to the success of the person in this position.
  • Excellent communication skills are required.
  • The ability to make decisions on behalf of the various program directors.
  • This position requires professionalism and diplomacy.
  • Knowledge of how to use the internet and other research avenues to assist course directors with needs assessment for planning and development of CME activities.
  • Basic knowledge of Microsoft Office and A/V software (Powerpoint) and equipment (LCD projectors and laptops) is necessary.
  • A bachelor's degree and one year relevant program experience.

  • 3 - 5 years experience in continuing medical education is preferred.

Responsibilities

  • Enforces policies and procedures to ensure that regularly scheduled conferences (grand rounds, case conferences, etc.) comply with ACCME and MUSC requirements and policies, assist the processes to award AMA PRA Category 1 credit to participants at 45 + regularly scheduled conferences.
  • Corresponds with MUSC faculty regarding relevant MUSC policies and procedures, performs site visits to regularly scheduled conferences to verify compliance with ACCME Essentials and MUSC policies.
  • Receives and records continuing education credit claimed by health care professionals for each RSS activity.
  • Works directly with CME Tracker™, our web-based registration and credit storage management company, and MUSC OCIO to develop new tools and maintain current applications for use in providing documentation of CME and CEU credits to MUSC faculty and staff and non-MUSC learners.
  • Researches and uses other products and develops web-based tools to comply with ACCME requirements.
  • Participates in initial course development with activity director and Director of CME by providing input regarding accreditation issues and "best practices" in activity planning.
  • Participates actively in planning discussions by presenting information about range of services available such as the CME fee schedule and course profiles.
  • Advises the activity director(s) of ACCME guidelines and requirements that will impact the course.
  • Discusses expectations and logistics and, in the event that additional credit (AAFP, Nursing, Pharmacy, Social Work, ACOG, etc.) are required, will ensure that representatives from the appropriate institutions are present at the initial planning meeting.
  • Prepares course materials for review by Associate Dean and Director of CME, assuring that the needs assessment and educational objectives are appropriate and meet ACCME guidelines.
  • Responsible for developing budgets for proposed activities and monitoring same budgets.
  • Develops, reviews, and approves all promotional materials for each CME activity assigned, according to the standards/guidelines set by ACCME and the MUSC Office of CME.
  • Determines timeline for mailing(s) or advises course director of requirements of ACCME accreditation standards for all promotional materials.
  • After researching available options, advises activity director of best possible mailing strategy, mailing lists/type of promotion most appropriate for target audience.
  • Process selection of mailing lists and coordinate the delivery, printing, and mailing process of promotional materials in a timely format.
  • Assists presenters in developing questions and is responsible for formatting all questions in the audience response system as part of the CME activity.
  • Manages logistics and able to troubleshoot and solve problems as the need arises, works with the course director to ensure that the activity begins on time, and maintains the schedule as closely as possible; coordinate activities at the registration desk to accommodate the on-site registration of attendees, and the distribution of course materials.
  • Works with facility to ensure AV equipment is functional, assists all faculty with AV needs (loading Powerpoint slides on laptop, etc.).
  • Update and maintain the online grand round site, adding new grand rounds as they become available.
  • Work with departments that are currently not offering online grand rounds to increase this resource.
  • Update and manager MUSC Office of CME website.
  • Completes online educational grant applications for submittal to pharmaceutical and medical device industry to help offset the costs of CME conferences.
  • Develops required documentation as part of the submission process.
  • Prepares documents required for these applications and submits post activity reconciliation reports when required by the company.
  • Responsible for meeting site contract negotiation and management, following appropriate approval process by MUSC General Counsel Office and MUSC Procurement Office.
