The Texas Real Estate Research Center is seeking a Program Coordinator I to assist leadership in planning, developing and implementing programs, conferences and seminars. The ideal candidate is someone who excels at orchestrating complex events and programs, bringing together logistics, communication, and stakeholder coordination with confidence and clarity. They should be adept at managing overlapping timelines, developing seminar experiences from registration to follow‑up, and maintaining strong relationships with speakers, sponsors, registrants, and agency partners. The Coordinator should be detail‑oriented and comfortable handling financial processes, travel arrangements, registration systems, and on‑site support while continuously improving programs through data and feedback. They will also contribute meaningfully to communications efforts, support operational needs, and provide training and guidance to staff involved in program execution. Requirements

  • Bachelor’s degree or equivalent combination of education and experience.
  • Two years of related experience.
  • Ability to multitask and work cooperatively with others.
  • Knowledge of word processing, spreadsheet, and database applications.
  • Verbal and written communication skills.
  • Demonstrates a professional presence in appearance, dress, and demeanor, with the ability to effectively interact with high-level guests in a forward-facing role.
  • Ability to travel independently to other and/or remote locations by driving and/or flying on commercial airlines.
  • This position may require work beyond normal office hours and/or work on weekends.

Responsibilities

  • Plans and implements Center‑hosted conferences and seminars.
  • Develops and plans existing seminars, including registration, onsite support, follow‑up, and survey analysis.
  • Manages timelines and workload for multiple overlapping events and initiatives.
  • Coordinates program logistics, including venue visits and evaluations, and travel arrangements for speakers and staff.
  • Maintains contact with registrants, guest speakers, sponsors, and other stakeholders.
  • Creates and manages program registration websites.
  • Attends planning meetings and provides logistical and programmatic input.
  • Coordinates with Texas state agencies to prepare written, approved coursework for program attendees.
  • Makes recommendations for program improvements based on evaluation and feedback.
  • Responds to inquiries regarding program offerings.
  • Monitors expenses and prepares revenue and monthly financial reports.
  • Processes requisitions, invoices, and deposits sponsor funds into appropriate accounts.
  • Manages travel documentation and compiles expense reports for speakers and staff.
  • Coordinates purchasing and payments using university systems (e.g., AggieBuy).
  • Coordinates with communications staff on media, photography, and videography production for programs.
  • Provides ideas, content input, timelines, and agendas to support communications deliverables.
  • Meets regularly with communications staff to align on production schedules and deadlines.
  • Provides business and operational support to the unit as needed to meet departmental goals.
  • Trains administrative staff on program tasks, procedures, and responsibilities.
  • Develops, maintains, and updates task scripts and instructional materials used for training purposes.
  • Provides guidance and support to staff assisting with program execution.
