About The Position

The Program Coordinator serves as the principal College of Pharmacy Graduate and Residency Program administrative support and provides office support for the staff, faculty, and students. This position manages the day-to-day administrative and financial operations for the residency and graduate programs along with other financial functions for the College of Pharmacy. This position provides administrative support to the programs' site directors, mentors, faculty, staff, and students and accounting support including managing budgets, reconciliation of accounts, resolving account and/or budget discrepancies, and maintaining accurate financial records.

Requirements

  • Bachelor’s Degree in Administration, Accounting, Management, Organizational Management, or a related degree. (TRANSCRIPT REQUIRED)
  • One (1) year of related experience; OR a combination of education and experience to equal five (5) years.
  • Proficiency using Microsoft Word, Excel, Internet Explorer, Outlook, and Adobe Acrobat.
  • Excellent oral and written communication skills, project management, and computer processing.
  • Ability to multitask and meet strict deadlines.
  • Ability to work independently as well as collaboratively.
  • Ability to provide excellent customer service.
  • Knowledge of UT policies and procedures.
  • Ability to learn and use systems and applications such as DASH (Oracle Cloud) ERP and HCM, Slate and WebAdmit in performing duties.

Responsibilities

  • Supports the Business Manager and Program Director with financial, administrative and HR needs for the Graduate and Residency programs.
  • Creates correspondence to potential students of the graduate and residency programs.
  • Facilitates hiring, onboarding, orientations, and terminations for graduate and residency programs.
  • Resolves registration issues for students and provides system support.
  • Schedules graduate student seminar presentations and other program related events.
  • Creates and updates residency contracts as needed.
  • Creates monthly invoices and tracks payments from the residency programs.
  • Creates offer letters for new residents and terminations for exiting residents.
  • Process forms for the residency showcase and ads for recruitment at the ASHP Midyear meeting.
  • Maintains monthly and annual reporting of the college’s salary release incentive program.
  • Creates labor schedules when setting up new students and residents and process labor changes.
  • Approves monthly procurement card statements, transactions and reconciliation.
  • Maintains accurate and up-to-date various program spreadsheets and files.
  • Provides administrative support for faculty members, students, and staff.
  • Trains staff on financial and administrative tasks as needed.
  • Performs other related duties as assigned.
