About The Position

The Program Assistant - ADRC position is a part-time, non-exempt role within the Human Services & Health Department. The starting wage is $20.46 per hour. The position is open until filled, with an application review date of September 16, 2026. The work schedule is Monday through Friday, from 9:00 am to 1:00 pm. This role involves a variety of clerical and support functions, including assisting visitors, answering phones, responding to inquiries, managing mail, ordering supplies, coordinating repairs, scheduling appointments and transportation, creating and editing correspondence and newsletters, data entry, scanning, and maintaining records. A significant portion of the role also supports the nutrition program by enrolling individuals, distributing menus, reporting meal counts, ordering supplies, and assisting with farmers market vouchers. Additionally, the position verifies transportation rider eligibility, coordinates transportation requests, prepares and distributes agenda documents, records minutes, and assists with creating and editing marketing materials. The role requires organizing and maintaining resource information, contacting local resources for updates, and disseminating programming information through various channels, including maintaining the ADRC website and social media platforms. Ensuring accessibility for people with disabilities and contributing content for monthly newsletters are also key responsibilities. The position requires strong organizational, communication, and computer skills, as well as the ability to work independently and manage multiple priorities.

Requirements

  • Creativity and knowledge of design concepts for creating communication materials such as brochures, flyers, displays, etc.
  • Knowledge of community resources and effective marketing strategies.

  • Ability to interpret and implement local policies and procedures; written instructions, general correspondence; Federal, State, and local regulations.

Responsibilities

  • Greets and assists visitors, notifies office staff, and schedules appointments.
  • Answers phone calls and routes them appropriately.
  • Responds to inquiries regarding programs, services, or complaints and refers individuals to appropriate staff.
  • Assists with mail distribution.
  • Orders office and miscellaneous supplies as directed.
  • Coordinates repair service for multifunction machines and vending machines.
  • Schedules appointments, conference rooms, and vehicles or transportation.
  • Creates, proofs, edits, and/or formats routine correspondence, newsletter articles, etc.
  • Enters, scans, updates, and maintains information in spreadsheets, databases, and reports.
  • Performs routine office clerical functions, including filing, faxing, and photocopying.
  • Maintains office supplies, materials, and equipment.
  • Receives and processes payments, applies payments to proper accounts, and provides receipts.
  • Provides backup assistance to other Department personnel as needed.
  • Supports the nutrition program: enrolls individuals in the senior dining program, distributes menus, reports meal site counts, orders supplies for meal sites, provides dining center staff with required information, and assists with farmers market voucher distribution.
  • Verifies new transportation rider eligibility and establishes accounts.
  • Assists with coordinating transportation requests.
  • Prepares, posts, distributes, and tracks computerized agenda documents, information packets, and public notices.
  • Records minutes as needed.
  • Assists with creating and editing written and electronic marketing materials.
  • Organizes and maintains all resource information in various formats.
  • Contacts local resources to collect and update information on available resources.
  • Disseminates programming information through various channels.
  • Maintains and updates the ADRC website and other social media platforms.
  • Ensures there are no accessibility barriers by people with disabilities.
  • Organizes, edits, and provides content for monthly newsletters.
  • Works with internal staff and vendors on layout and production of newsletters.
