About The Position

Utah State University (USU) seeks a Program Assistant III to support the implementation and day‑to‑day coordination of the Preschool Development Grant Project within the Human Development and Family Studies Department. This position will be located in the Uintah Basin region of Utah and will work closely with local community partners in that area. The project collaborates with the Uintah School District to strengthen early childhood education programs and track project progress. The Program Assistant III works closely with project faculty, the program manager, and community partners to coordinate activities, maintain documentation, and support project operations. The position reports to the program manager and provides guidance to hourly employees. This benefited position works 30 hours per week (.75 FTE). Continued employment is contingent upon performance and ongoing funding. This position is telework‑eligible within the state of Utah.

Requirements

  • Four years of experience; or an associate degree/technical training plus two years of experience; or a bachelor’s degree.
  • Strong organizational, communication, and time‑management skills.
  • Ability to work independently and collaboratively in a team environment.

Nice To Haves

  • Bachelor’s degree in a related field (e.g., social sciences, education, public administration).
  • Experience working with families or community programs in rural settings.
  • Familiarity with research, evaluation, or community‑based programming.

Responsibilities

  • Community Partnership & Program Coordination
  • Assisting with the development, routing, and revision of Memoranda of Understanding (MOUs) in collaboration with the community partner and in accordance with USU processes.
  • Coordinating project planning, implementation, and tracking of milestones and deliverables for both USU and community partner staff.
  • Monitoring progress toward MOU‑defined responsibilities and preparing updates for Utah DHHS during monthly and quarterly reporting cycles.
  • Coordinating daily operational activities related to the community partnership, including scheduling, logistics, and communication on behalf of the project team.
  • Collecting, organizing, and summarizing program‑specific data (e.g., participant counts, observation scores, satisfaction metrics) to support program improvement and reporting requirements.
  • Preparing and maintaining project documentation, reports, and records related to the assigned community partner.
  • Drafting written summaries of data and MOU‑related activities for distribution to USU, Utah DHHS, the community partner, and other stakeholders.
  • Reviewing community partner budget requests for completeness and alignment with project guidelines prior to submission to Utah DHHS and USU purchasing.
  • Representing USU at community partner events—including summer STEM camps—to provide on‑site coordination and support within established project plans.
  • General Project Support
  • Monitoring budgets and processing purchasing requests for the assigned community partner in accordance with Utah DHHS and USU policies.
  • Coordinating the hiring process for summer STEM camp teachers and ensuring compliance with USU policies and required trainings.
  • Organizing meetings, trainings, and events, including preparing materials and coordinating follow‑up with the community partner.
  • Contributing to project‑wide dissemination efforts such as presentations, reports, and publications involving multiple community partners.
  • Performing other duties as assigned to support overall project goals.
