About The Position

The Institute of International Finance (IIF) is seeking a part-time Program Assistant to join its Executive Office team. This role will primarily support the General Counsel by managing their calendar, travel, and expense reimbursements, coordinating meetings and conference calls, and providing back-up support to the Executive Office. The position also involves a variety of other duties related to compliance, contract management, and administrative support.

Requirements

  • College degree in a related field with a strong academic record.
  • At least two years of professional experience in a related field.
  • Strong command of the English language and excellent written and oral communication skills.
  • Extensive experience with Microsoft Office, preferably including CoPilot, Excel and MS Forms.
  • Personal attributes such as a high degree of professionalism, strong attention to detail, organization, and the ability to communication and act with tact, judgment, and positive energy are also required.

Responsibilities

  • Arrange meetings and appointments for supervisor.
  • Ensure that supervisor's electronic calendar is kept up to date.
  • Provide supervisor with accurate, and up-to-date schedules as changes occur.
  • Support travel needs with travel agent including taxi/limo services, airline and train reservations, hotel and restaurant accommodations, visas, itinerary, expenses, etc.
  • Manage expense reimbursements.
  • Manage bar membership and dues; ensuring all are up to date and paid.
  • Liaise with Membership department; keep Protech updated with contacts; coordinate member meetings.
  • Compile and maintain US lobbying compliance data.
  • Draft board resolutions and provide support for meetings of the Board of Directors.
  • Maintain contract tracking system.
  • Liaise with Membership and Events departments to facilitate contract completion, as needed.
  • Collect inputs from IIF staff to maintain tracking of IIF survey projects.
  • Conduct annual IIF staff outside board service survey and maintain collected data.
  • Support compliance with NGO requirements for IIF China office and activities.
  • Assist with privacy compliance program, including tracking data processing agreements, corresponding with relevant vendors.
  • Prepare and distribute minutes for weekly all-staff meetings based on inputs from staff.
  • Draft general letters and emails.
  • Assist with speaking engagements, including speaker guidance and talking points.
  • Provide assistance with FedEx and courier services.
