About The Position

The Program Administrator will serve as the operational backbone for the MIT AI Community Hub for Education and Research, a new, high-visibility Institute initiative supporting the expanding role of generative AI in teaching, learning, and research. This role reports to the faculty co-directors and will manage day-to-day operations across the Hub’s six focus areas. Key responsibilities include planning and running signature convenings, administering seed-grant and pilot-fund programs, managing the Hub budget, coordinating communications and committee support, and overseeing a cohort of teaching assistants and undergraduate researchers.

Requirements

  • Bachelor’s degree.
  • Minimum of four years of administrative, operations, and/or program or project management experience.
  • Demonstrated success managing events, programs, or projects with many moving parts and multiple stakeholders.
  • Strong organizational and time-management skills, with the ability to plan ahead, prioritize, and keep several initiatives on track at once.
  • Excellent written and interpersonal communication skills.
  • Sound judgment in representing a program to faculty, staff, students, and external partners.
  • Experience managing budgets, expenses, and purchasing.
  • Comfort with ambiguity and a builder’s mindset for a new program that will evolve quickly.

Nice To Haves

  • Experience in a university, research, or academic setting.
  • Familiarity with MIT systems and policies.
  • Experience administering grant or seed-fund programs.
  • Interest in generative AI and its role in education and research (technical expertise is not required).
  • Experience supervising student workers.

Responsibilities

  • Manage day-to-day operations across the Hub’s six focus areas.
  • Plan and run signature convenings, including a weekly lunch-and-seminar series and an annual “AI at MIT” conference.
  • Administer seed-grant and pilot-fund programs.
  • Manage the Hub budget.
  • Coordinate communications and committee support.
  • Coordinate a cohort of teaching assistants and undergraduate researchers.
