About The Position

Supporting the Vision, Values, Purpose and Commitments of Fraser Health including service delivery that is centered around patients/clients/residents and families: Reporting to the Manager, Indigenous Health or designate, the Program Administrator, Indigenous Health provides organization and coordination support for the Indigenous Health programs such as new employee orientation and onboarding, professional development, program education strategy, development and evaluation of administrative program policies, monitoring service implementation and identifying program service needs and future demands.The Program Administrator provides input for the development and maintenance of resources to support professionals and families regarding Indigenous health.The Program Administrator liaises with internal and external partners such as academic institutions, regulatory colleges, corporate partners,other health authorities, and functions as the central point of contact for the administration of designated programs/projects.The Program Administrator also is responsible for reviews of tools/resources/materials/records, coordinating program activities and workflow, maintaining electronic files/summaries/reports, and recommends process and system improvements.

Requirements

  • Graduation from a diploma program in administration, project management, adult education, or related field and three (3) years recent, related experience in an education, business or health care environment, or an equivalent combination of education and experience.

  • Strong proficiency with and ability to develop systems using a variety of computer software including database applications, internet-based applications and MS Office at an intermediate to advanced level.
  • Ability to learn software database applications.

Responsibilities

  • Coordinates and provides support for Indigenous Health specific programs/projects by developing and implementing work methods and procedures that support the objectives of the programs/projects including onboarding/orientation support, resolves day-to-day problems and evaluates administrative operating procedures/processes.
  • Functions as a central point of contact for assigned Indigenous Health programs/projects. Receives and responds to related queries, prepares and distributes communications/correspondence, liaises with internal and external partners for communications around Indigenous Health.Clarifies information and resolves issues and/or escalates queries to the Team Leader and/or Manager as appropriate.
  • Assists in the evaluation of assigned Indigenous Health programs/projects by coordinating participation and evaluation information, conducting preliminary analysis, generating summaries,coordinating with participants, and reviewing evaluation results with the team.
  • Coordinates and maintains processes for receiving, reviewing, processing, tracking, and filing resources and records.
  • Establishes and maintains databases and records, including those related to sensitive client and Fraser Health employee data as well as current lists for key contacts, program service providers, and facilitators. Promotes the use of related databases at Fraser Health and may provide guidance and training to users.
  • Reviews existing Indigenous Health practices and develops and recommends process and system improvements; implements approved changes.
  • Develops, compiles, and initiates a variety of program/project related resources including team schedules/calendars. Analyzes, organizes and reports information and identifies issues or implications to the attention of the Leader/Manager as appropriate.
  • Provides support including coordinating/scheduling meetings, preparing meeting agendas, materials, and minutes, coordinating sessions/workshops/events including booking space, drafting correspondence and communications, collecting/summarizing resource materials, maintaining electronic files, and preparing/editing/maintaining documents, web pages and SharePoint site files.
  • Maintains and monitors inventory and supplies for Indigenous Health office sites across Fraser Salish region. Places orders and oversees the receipt, storage and distribution of Indigenous Health program supplies and equipment.
  • Monitors expenditures and maintains budget by performing duties such as analyzing, reconciling and recommending budget changes, requesting invoices from vendors, initiating purchase orders or requisitions for purchases, liaising with required personnel/departments to verify coding and calculations, following up on discrepancies, investigating invoice anomalies and/or damaged shipments as required, and ensuring payments for goods and services are processed.
  • Supports Indigenous Health programs referral intake, registering new clients, assigning referrals and closing referrals as needed.
