Requirements

  • High school diploma or equivalent Government Equivalency Diploma (GED).
  • Minimum of two (3) years’ experience working in a similar clerical/administrative position.
  • Strong organizational, communication, and customer service skills.
  • Ability to interact professionally with employees, management, vendors, and visitors.
  • Ability to manage multiple tasks and prioritize effectively.
  • Mature judgment and ability to work with minimal supervision.
  • Ability to use Microsoft Word, Excel, and Outlook to complete basic assignments.
  • U.S. Citizenship.
  • Ability to pass pre-hire background and drug screen.
  • Valid driver’s license with an acceptable driving record.

Nice To Haves

  • Experience supporting program management.
  • Experience in a government contracting environment.
  • Intermediate user level of multiple Microsoft software products.
  • Professional training or certification in customer service.

Responsibilities

  • Greet visitors, determine nature of visit, and direct to appropriate personnel.
  • Maintain visitor logs, issue badges, and support facility access procedures.
  • Answer, screen, and route incoming calls, emails, and visitors appropriately.
  • Provide general information and assistance to employees, applicants, and visitors.
  • Provide administrative support to leadership, including calendar management, scheduling, and meeting coordination.
  • Prepare correspondence, reports, and presentations.
  • Maintain organized electronic and physical filing systems
  • Track and maintain administrative records, reports, and documentation.
  • Coordinate conference rooms, meals, meetings, events and office space usage.
  • Manage incoming and outgoing mail, shipping, and deliveries.
  • Maintain and distribute updated office contact lists.
  • Maintain office and rewards room inventory and coordinate ordering of supplies as needed.
  • Coordinate and process uniform orders, including tracking requests.
  • Submit and track service requests (facilities, maintenance, IT support).
  • Ensure common areas are organized, cleaned, stocked, and maintained.
  • Maintain and organize program and contract-related documentation, records, and trackers.
  • Maintain and update organizational charts to reflect current staffing and reporting structures.
  • Support data collection and preparation of reports, metrics, and presentations.
  • Coordinate with internal departments to gather and organize information.
  • Assist with tracking deliverables, deadlines, and administrative activities.
  • Assist with special projects and administrative research as needed.
  • Perform other clerical and administrative duties as assigned.
