About The Position

CMHA BC Division is looking for a Program Administrative Assistant with excellent organizational, project management, and communications skills to assist with the dissemination of our scholarships and bursaries program as well as other administrative duties for mental health promotion programs. The Program Administrative Assistant reports to the Leader, Health Promotion and Education. Please note that this is an 8-week term, and a 35-hour work week concludes before the end of August 2026.

Requirements

  • Grade 12
  • Office Administration Certificate
  • Recent, related experience of one year or an equivalent combination of education, training, and experience.
  • Be legally entitled to work in Canada in accordance with relevant provincial or territorial legislation and regulations.
  • Excellent interpersonal, written, and verbal communication skills.
  • Excellent project management, time management, and organizational skills, including attention to detail and ability to work remotely, meet deadlines and solve problems creatively.
  • Familiarity and comfort with MS Office platforms as well as confidence learning new software or apps
  • Ability to work remotely with team members.

Nice To Haves

  • Experience of procedures involved in administration of grants, awards or bursaries, a strong asset.
  • Interest, knowledge, or experience working in health and social service sectors, ideally in the non-profit sector.
  • Familiarity with higher education and campus communities are a strong asset.
  • Interest, knowledge, or experience working with concepts of equity, diversity, and cultural safety.
  • Ability to manage schedules and coordinate multiple tasks simultaneously.
  • Lived experience related to mental health and/or substance use problems is considered an asset.
  • Personal experience with mental illness and or addiction, either through self or a loved one, is an asset.

Responsibilities

  • Assists in coordinating and processing CMHA bursary and scholarship programs that support young people with mental health and substance use challenges to return to higher education
  • Assists in coordinating with Communications to widely promote the bursaries on social media platforms and related websites
  • Prepares/updates application forms, bursary packages and marking rubrics as well as coordinates logistics for the volunteer adjudication panel
  • Organizes the submitted applications and maintains digital filing system
  • Prepares the applications for the review panel and reviews completed marking sheets and process the selected applications
  • Finalizes the list of awardees and prepares formal award letters, and communicates with their post-secondary institutions
  • Helps prepare administrative paperwork to help supervisor and Finance team disburse award funds
  • Supports supervisor in correspondence with donors and award recipients
  • Assists with other mental health programs including helping with promotion, follow-up, materials tracking and evaluation.
  • Performs other administrative, communications and coordination duties as required.

Benefits

  • The hourly rate of pay is $26.27-$27.99.
  • CMHA BC will collect union dues on behalf of the Health Sciences Association.
