About The Position

The Scheduling Supervisor is responsible for planning, coordinating, and executing operation schedules to ensure timely completion of decorated goods while optimizing workflow and capacity. This role oversees scheduling, administrative, and customer coordination functions and works closely with Production, QA, and Operations leadership to align customer demand with manufacturing capability. The Scheduling Supervisor supports continuous improvement efforts, monitors production capacity, coordinates order flow from intake through fulfillment, and ensures clear communication across departments. This position provides operational insight and recommendations while supporting company objectives through effective execution and team leadership.

Responsibilities

  • Assist management by providing scheduling data, capacity insights, and operational recommendations to support short- and long-term operation goals.
  • Participate in the development and maintenance of production-related policies and procedures that support company objectives.
  • Identify workflow improvement opportunities and provide input regarding scheduling impacts related to equipment, staffing, or process changes.
  • Provide operational input to optimize production resources and scheduling efficiency.
  • Develop, review, and maintain master production schedules in coordination with leadership.
  • Perform ongoing analyses to determine the need to complete, reschedule, defer, or reprioritize work based on demand, inventory levels, material availability, and staffing.
  • Perform capacity assessments for production areas and adjust schedules to address constraints or operational disruptions.
  • Communicate manufacturing constraints, risks, or scheduling conflicts to leadership in a timely manner.
  • Coordinate with QA to ensure production schedules support quality requirements and inspection needs.
  • Ensure production art readiness and order specifications are aligned with scheduled production activities.
  • Coordinate with Supply Chain, Warehouse, and Receiving to ensure materials are available to support production schedules.
  • Assist with inventory flow and rotation to optimize stock levels and minimize scrap, rework, or delays.
  • Support alignment between material availability and production priorities.
  • Provide direct supervision and leadership to Scheduling Coordinator(s), Customer Account Manager(s), and Administrative Assistant(s).
  • Establish priorities, assign work, and monitor performance to ensure scheduling and coordination tasks are completed accurately and efficiently.
  • Train, advise, and coach team members on production schedules, order coordination, and workflow expectations.
  • Foster collaboration and effective communication within the scheduling and operational support team.
  • Coordinate activities with Production, Customer Service, QA, Warehouse, Receiving, and Inventory personnel to support on-time production and delivery.
  • Serve as a primary coordination point between customer account support and production scheduling.
  • Communicate schedule changes, priorities, and risks clearly to all affected departments.
  • Keep management informed of scheduling performance, operational risks, and improvement opportunities through reports and updates as requested.
  • Coordinate with vendors, suppliers, and external service providers as needed to support scheduling and operational requirements.
  • Communicate delivery timelines and scheduling needs with external partners when directed by management.
  • Maintain accurate scheduling records, reports, and documentation.
  • Stay informed of developments and best practices in production planning and scheduling.
  • Support audits, special projects, and operational initiatives as assigned by management.
  • Ensure scheduling systems and work areas are organized, secure, and maintained.
