About The Position

The Production Planning Administrative Coordinator provides administrative and operational support to the Production Planning team to ensure accurate scheduling, timely material flow, and efficient manufacturing execution. This role is responsible for data management, reporting, document control, and cross-functional coordination to support production schedules and business objectives.

Requirements

  • High school diploma or equivalent required; associate degree or coursework in business, supply chain, or manufacturing preferred
  • 2+ years of administrative and planning support experience in a manufacturing or industrial environment
  • Proficiency in Microsoft Excel, Outlook, and Word
  • Experience working with ERP/MRP systems (SAP, Oracle, JD Edwards, Dynamics, or similar preferred)
  • Strong attention to detail and data accuracy
  • US work authorization is a precondition of employment. The company will not consider candidates who require sponsorship for a work-authorized visa.
  • Successful candidate will need to satisfactorily complete pre-employment drug screen and background check.

Responsibilities

  • Support Production Planners by maintaining production schedules, work orders, and planning documentation in ERP/MRP systems
  • Enter, update, and verify production data including routings, bills of materials, lead times, and order status
  • Assist with capacity planning by compiling data and preparing reports for planners and management
  • Track schedule changes and communicate updates to production, procurement, and logistics teams
  • Prepare and distribute daily, weekly, and monthly production reports (schedule adherence, backlog, KPIs)
  • Maintain accurate records for production plans, forecasts, and historical data
  • Ensure data integrity across planning systems and spreadsheets
  • Assist with audits by organizing and providing required planning documentation
  • Serve as a point of contact between Planning, Production, Purchasing, Inventory, and Shipping
  • Support material availability checks and follow up on shortages or constraints
  • Assist in coordinating meetings, action items, and follow-ups related to production planning
  • Support process improvements related to planning accuracy, reporting efficiency, and administrative workflows
  • Assist with system updates, master data cleanup, and standard work documentation
