Product Operations Manager

Automated Financial Systems, LLC•Exton, PA

About The Position

The Product Operations Manager owns the operating systems and processes that help AFS’s product organization plan, build, launch, and report on product work. This hands-on individual contributor role supports the Chief Product Officer by turning priorities into clear plans, materials, and follow-through across the Product organization. The role does not own product strategy; it helps strategy land, scale, and deliver measurable results, with an emphasis on using AI and automation to reduce manual work. The position establishes the product organization’s operating cadence; prepares leadership, board, and investor materials; maintains roadmap and portfolio visibility; and manages product data, tools, documentation, release processes, and client feedback loops. It coordinates release readiness across internal teams and maintains audit-ready processes and evidence. Success includes trusted roadmap reporting across products, automated leadership updates, adopted release playbooks and documentation standards, measured efficiency gains from AI and automation, reduced PM reporting effort, and end-to-end tracking of customer commitments.

Requirements

  • 4 to 6 years of experience in product operations, program management, product management, or a Chief of Staff-style role in B2B SaaS, fintech, or enterprise software.
  • Hands-on experience using AI and automation tools, such as Claude, ChatGPT, Copilot, Power Automate, Zapier, or Jira automation, to reduce manual work, with results that can be described.
  • Advanced Jira and Confluence skills, including JQL, dashboards, filters, and workflow configuration.
  • Strong data skills, including building dashboards, cleaning messy data, and turning data into clear recommendations.
  • Excellent executive communication skills, including concise written updates and presentation materials for senior leaders.
  • A track record of building processes and playbooks that teams adopt through influence rather than authority.
  • Working knowledge of agile delivery and the SDLC.
  • Bachelor’s degree or equivalent experience.
  • Structure ambiguity and move quickly from idea to working result.
  • Demonstrate value with a small pilot before scaling it.
  • Think in systems and address root causes rather than symptoms.
  • Treat security and data handling as part of the design.

Nice To Haves

  • Experience in banking, lending, or another regulated financial services environment.
  • Familiarity with FFIEC, SOC 2, or NIST controls and how they shape product and release processes.
  • Experience with multi-product portfolios or hosted SaaS release management.
  • Background in consulting, analytics, or business analysis.
  • Experience leading a documentation or knowledge management overhaul.

Responsibilities

  • Run the product organization’s operating cadence, including roadmap reviews, release readiness checkpoints, and a regular product operations forum.
  • Prepare executive materials, including weekly ELT updates, board and investor inputs, and product leadership readouts.
  • Capture decisions, actions, and owners from leadership forums and track them to closure.
  • Translate CPO priorities into clear communication for product, engineering, sales, implementation, and client support.
  • Own roadmap health reporting across the AFS product suite and flag at-risk or slipping epics.
  • Track customer commitments and contractual delivery dates.
  • Build and maintain dashboards and KPIs for delivery velocity, predictability, release quality, and roadmap progress.
  • Steward product data in Jira and Confluence by maintaining consistent fields, clean hierarchies, and trustworthy reports.
  • Identify repetitive manual work in tracking, reporting, and handoffs, and automate it using tools such as Claude, Copilot, and Jira automation.
  • Pilot AI tools for the product organization, measure time saved, and scale effective tools and workflows.
  • Ensure AI and automation uses follow AFS data classification and security policy, excluding client production data, NPI, or PII from unapproved tools.
  • Coach product managers on practical AI workflows for specifications, research synthesis, prototyping, and release documentation.
  • Design and document end-to-end workflows from intake and discovery through development, release, and go-to-market.
  • Build repeatable playbooks for releases, early adopter programs, and feature rollouts to hosted clients.
  • Coordinate release readiness with engineering, QA, hosting, implementation, client support, and marketing.
  • Maintain audit-ready processes and traceability and evidence required for SOC 2 reviews and bank vendor due diligence.
  • Set standards, templates, and governance for product documentation, including PRDs, release notes, user guides, and internal playbooks.
  • Audit existing content for gaps and inconsistencies, then restructure and migrate it so teams can find needed information.
  • Own onboarding materials for new product team members.
  • Own the product team’s toolset, including Jira, Confluence, and related tools, as well as configuration standards, vendors, and licensing.
  • Build a structured channel for client feedback and enhancement requests, and report trends to product managers.
  • Close the loop with client-facing teams on decisions and expected release timing.
