About The Position

Zebra Pen is seeking a Product Data & Operations Administrator who will serve as the central owner for sales reporting, product and item data, pricing controls, and trade agreement administration. This position ensures accurate, timely reporting and maintains high-quality product, pricing, and customer data across the organization. As a key cross-functional partner, the role supports Sales, Product Management, Finance, Operations, and IT by maintaining data integrity, coordinating item and pricing updates, and promoting strong data governance practices.

Requirements

Bachelor's degree in Business Administration or a related field.
3-5 years of experience in a similar role.
Experience with sales reporting, analytics, and data management.
Advanced Microsoft Office skills, with an emphasis on Excel.
Experience managing trade agreements, customer pricing, and promotional programs.
Experience with item setup, product data management, and customer portals.
Knowledge of data governance principles and business processes.
Familiarity with D365 or a comparable ERP system.
Strong attention to detail and a high degree of accuracy.
Demonstrated critical-thinking, problem-solving, and analytical skills, including the ability to use data to support informed business decisions.
Ability to effectively prioritize and manage multiple projects and deadlines, with excellent organizational, time-management, and multitasking skills.
Strong written and verbal communication, presentation, relationship-building, and collaboration skills across all levels of the organization and with external contacts.
Ability to maintain confidentiality and exercise professionalism.
Commitment to continuous improvement and operational excellence.
Working knowledge of Windows-based operating systems.

Nice To Haves

Power BI experience is a plus.
Consumer products experience preferred.
Office products industry experience is a plus.

Responsibilities

Produce and distribute monthly sales reports for commercial accounts.
Support Sales Managers with reporting, analytics, and performance insights.
Prepare commission reports for internal Finance teams and external sales representatives.
Maintain and administer sales representative contracts and related records.
Maintain, update, and validate customer trade agreements.
Coordinate pricing updates, discount files, promotional programs, and exception management with Sales Managers, the EDI Manager, and other stakeholders.
Manage product setup and maintenance within internal systems and customer portals.
Audit and maintain customer portal data to ensure alignment with D365 and other company systems.
Serve as a key liaison between Sales, Product Management, Finance, Operations, IT, and other departments.
Act as a centralized resource for item, pricing, and customer data.
Oversee the maintenance, implementation, and governance of price lists and item catalogs.
Ensure all pricing and product information is accurate, current, and aligned across systems.
Identify opportunities to improve reporting, pricing, item setup, and workflow processes.
Develop, maintain, and update Standard Operating Procedures (SOPs).
