About The Position

The Procurement Coordinator supports hospitality design and procurement projects from concept through completion by coordinating sourcing, purchasing, vendor communication, and order execution. This role is essential to maintaining strong supply chain operations, ensuring project timelines are met, and helping deliver seamless projects with accuracy, efficiency, and exceptional service.

Requirements

  • Bachelor’s Degree – Business/Supply Chain or Hospitality major desired.
  • Entry Level - 0-2 years of professional experience preferred.
  • Existing knowledge base or ability to quickly immerse oneself in the Hospitality FF&E and OS&E categories
  • Strong PC skills with proficiency in Microsoft Office and proven ability to create and maintain analytical reports in Excel
  • Clear, concise (legal-minded) written communication skills
  • Effective verbal communication skills
  • Good telephone conversationalist
  • Solid negotiating prowess
  • Attention to detail with a numbers-oriented mindset
  • Organized and thorough work style with emphasis on time management
  • Ability to resolve conflict quickly and constructively
  • Knowledge of Spexx/Exxpedite

Responsibilities

  • Support parts of or an entire project depending on scope in conjunction with team leadership
  • Understand specification translation for the purposes of bidding, budgeting and issuing Purchase Orders
  • Understand manufacturers, price points, product expediting & logistics principles
  • Initial exposure to project design specifications, supplier selection, costing, production lead times, bidding, PO issuance and expediting orders
  • Assist in negotiating pricing and lead time for products
  • Support project managers by updating weekly delivery status reports
  • Maintain and update project timelines relating to purchasing scope of work
  • Assist in resolving supplier issues with respect to quality issues and / or timing of delivery
  • Manage communications with freight forwarding / logistics companies, ensuring delivery of product and resolving outstanding issues
  • Review and process prepared invoices for payment
  • Assist in the preparation of budgets for design-related projects
  • Collect administrative documents during the close out process, such as warranty, flame certificates and cleaning information
  • Perform Quality Control exercises on one’s own work
  • Understand hotel brand structures
  • Interact within the hospitality network including but not limited to supplier socializing and trade show & conference attendance
